Position Summary

The Guest Services Representative serves as the primary point of contact for guests during their stay, ensuring that all interactions reflect the highest standards of hospitality. This role involves collaborating with various hotel departments to guarantee that guests receive exceptional service from check-in to check-out.

Key Responsibilities

  • Maintains an accurate record of room availability, reservations, and assignments.
  • Possesses a thorough understanding of the reservations system, including handling same-day and future bookings, as well as cancellation policies.
  • Familiar with room configurations, types, and pricing.
  • Welcomes guests upon arrival and assigns accommodations accordingly.
  • Communicates room status updates to housekeeping, including check-outs, late check-outs, early arrivals, special requests, and partial-day room usage.
  • Coordinates with maintenance staff to address guest room issues promptly.
  • Utilizes effective sales techniques to promote room bookings and additional hotel services.
  • Reports any unusual incidents or guest requests to management.
  • Handles guest complaints with professionalism and courtesy.
  • Facilitates guest check-outs and manages financial transactions.
  • Ensures the confidentiality of guest information.
  • Maintains a polished appearance and professional demeanor at all times.
  • Performs additional tasks as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Prior experience in a hospitality setting is preferred.
  • Strong communication skills with the ability to interact professionally with guests and staff.
  • Knowledge of local attractions and events.
  • Understanding of credit policies, cash handling, and security of guest information.
  • Ability to learn and apply safety and emergency procedures.
  • Familiarity with proper telephone etiquette.
