Job Summary
We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at MyCareersFuture. As a key member of our operations team, you will be responsible for providing administrative support to our staff and students, ensuring the smooth day-to-day operations of our office.
Key Responsibilities
- Provide exceptional customer service to S&A staff, ASTAR Graduate Academy, and Institutes of Higher Learning, including coordinating internship project proposals and administrative matters.
- Update and maintain the S&A student database, ensuring accurate and up-to-date information.
- Facilitate approval for research students' conference applications, thesis-related matters, and other student-related matters.
- Liaise with other departments within the institutes for student onboarding and exit.
- Provide ad-hoc data requests and support to the team.
Administrative Support
- Coordinate external and internal meetings, manage calendars, and schedule appointments for RDO management.
- Coordinate and schedule meetings for CFRC, TDRC, IP Briefing, and other RDO workshops/clinics.
- Enter data and compile information regarding research collaborations, agreements, business visits, fellows, joint appointments, awards received by staff, and other research documentations.
- Raise and verify ePRs purchases made by RDO.
- Monitor RDO admin mailboxes and provide logistics support for hosting visits.
Additional Responsibilities
- Cover Receptionist duties at CT2B during lunch periods and off days on a rotation basis.
- Support other S&A events and visits as required.
Requirements
- Diploma or Degree in a related field.
- Minimum 2 years of relevant experience in administrative support-related work.
- Proficiency in Microsoft Power Automate, Power BI, and Microsoft Excel.
- Excellent verbal communication skills and ability to work independently.
- A self-driven and meticulous individual with strong multitasking and project management skills.
