Job Title: Health Information Manager II

Community Health of South Dade, Inc. is seeking a highly skilled Health Information Manager II to join our team. As a key member of our healthcare organization, you will be responsible for managing health information data to ensure its quality, accuracy, accessibility, and security.

Key Responsibilities:
  • Manage health information data to ensure its quality, accuracy, accessibility, and security.
  • Provide accurate information in the EHR system for insurance reimbursement purposes, databases, and registries.
  • Ensure clinical staff and physicians have the necessary information to provide continuous healthcare.
  • Retrieve information from patient records as requested by mail, fax, or walk-in.
  • Handle faxes of PHI in a responsible manner, maintaining confidentiality and adhering to policies and procedures.
  • Compile data to prepare monthly HIM Reports.
  • Participate in active training of the EHR System to assist and/or train HIM staff in the management of HIM processes/workflow and the EHR system.
  • Purge and prepare Medical Records for archiving and relocation to storage.
  • Retrieve Medical Records from archive/storage area as needed.
  • Maintain database system in EHR for labs, quality measures, and compiling data and auditing manually entering results into EHR as needed for HIM reports.
  • Sort Medical Record paperwork and ancillary reports daily as needed.
  • Scan medical record contents and loose paperwork into the EHR as needed.
  • Prepare documents to be scanned by adding identifiers, checking for completeness, and removing hardware as needed.
  • Verify patient information such as name and account number before scanning documents.
  • Import images into EHR or print documents for scanning as needed.
  • Retrieve information from patient record as needed.
  • Task documents to doctors for viewing and signatures.
  • Delete scanned images in the EHR when authorized.
  • Check scanned images for legibility and clarity.
  • Discard protected health information into the proper receptacles.
  • Answer telephones by the third ring using appropriate telephone etiquette and handle requests with courtesy, accuracy, and respect for patient confidentiality.
  • Participate in Continuous Performance Improvement Activities.
  • Adhere to Organizational and Department Policies and Procedures.
  • Maintain patient confidentiality by being compliant with Confidentiality Policies & Procedures, HIPAA Regulations, and state regulations.
  • Attend appropriate orientation and employee education programs and other trainings deemed necessary.
  • Relate and interact with staff, peers, and customers with respect and courtesy.
  • Demonstrate a positive, supportive, and dynamic attitude.
  • Ensure scanning machines receive appropriate preventative maintenance.
  • Report equipment malfunction to supervisor in a timely manner.
  • Report to work on time and ready to work with minimal absenteeism.
  • Follow up on record requests in a timely manner and track turnaround time.
  • Complete requests for records from patients, HMOs, and other agencies.
  • Compile data to generate monthly HIM Reports.
  • Perform Quantitative/Qualitative Review/Auditing of Patient Documentation Daily.
  • Perform other duties as assigned.
