Position Overview

Job Title: Administrative Associate III

Employment Type: Part-Time - 20 Hours per week
Compensation: Hourly - $16.536

Key Responsibilities:
This role provides essential support to the Civil Engineering Department. Daily responsibilities encompass:

  • Managing and directing phone communications
  • Assisting with scheduling, travel arrangements, meetings, and events
  • Responding to emails and documenting meeting minutes
  • Welcoming visitors and maintaining organized filing systems
  • Researching, gathering, and compiling information for reports and documents
  • Overseeing budget components and newsletters
  • Maintaining office supply inventories and replenishing as necessary
  • Utilizing common office software, including word processing, spreadsheets, and presentation applications
  • Assisting students in connecting with faculty or staff for support
  • Supervising work-study students and other student assistants

This position requires effective collaboration with various staff and offices.


Required Qualifications:
- Proficiency in office software, particularly the MS Office Suite.
- Completion of two years of post-secondary education or two years of office management experience, or an equivalent combination of education and experience.
- Strong organizational and multitasking abilities, with a keen attention to detail and effective prioritization skills.
- Excellent communication and interpersonal skills, demonstrating the ability to work collaboratively within a team.


Preferred Qualifications:
- Previous experience in administrative support or similar roles is advantageous.
- Familiarity with campus-specific software for database management, scheduling, budgeting, and curriculum records.
- Understanding of academic environments and procedures is beneficial.
- Professional communication skills in verbal, written, and electronic formats.
