Position Overview:
The Project Assistant will play a crucial role in the coordination and management of installation projects. This position involves a variety of responsibilities aimed at ensuring smooth operations and excellent customer service.
Key Responsibilities:
- Coordinate the scheduling of technicians and crew members for various installation tasks.
- Oversee customer service work orders, including setting up client accounts, ordering materials, maintaining communication with clients, managing warranty coverage, and handling invoicing.
- Foster positive relationships with customers through effective communication and support.
- Manage emergency work orders on an ongoing basis as part of a rotational on-call system.
- Ensure timely resolution of issues by scheduling crew members for service and warranty-related work orders.
- Hold both internal and external partners accountable for project scopes, budgets, and timelines.
- Collaborate with clients to maintain high standards of project and service quality.
- Provide status updates using various reporting tools such as Oracle, Smartsheet, Salesforce, and customer portals.
Qualifications:
- 1-3 years of experience in service coordination, including scheduling technicians, invoicing, and managing work orders.
- Proficient in communication with vendors and customers.
- Knowledge of lighting, electrical, and LED project management is advantageous.
- Familiarity with Windows and Microsoft Office Suite (Word, PowerPoint, etc.).
- Strong interpersonal skills with excellent written and verbal communication abilities.
- Adaptable and flexible, capable of responding to last-minute requests.
- Ability to manage multiple tasks and projects while maintaining organization.
Compensation and Benefits:
- Salary Range: $55,000 to $65,000, based on experience.
- Work Schedule: Monday to Friday with flexible hours (average work hours are 8 AM to 5 PM, but flexibility is offered as long as the 40-hour work week is met).
- Employment Type: Direct hire with comprehensive benefits.
