Job Summary

Posillico Civil, Inc. is seeking a highly organized and detail-oriented Human Resources Administrator to support the Vice President of Human Resources and the entire Human Resources Department. The successful candidate will provide administrative support with day-to-day operational needs, including communication with all levels of the organization on items such as recruitment, onboarding, benefits, training, company policies and processes, while maintaining a high level of confidentiality.

Responsibilities
  • Maintain new hire benefits folders and assist with open enrollment period.
  • Provide administrative support for annual tasks, including ACA (1095) filings, Total Compensation Statements, 5500 filings, and Medicare Part D notices.
  • Coordinate Spot Awards Program and assist with quarterly newsletter and other communications.
  • Monitor employee satisfaction and promote programs to enhance engagement.
  • Assist with Young Professional, Wellness, and DEI programs.
  • Support the Summer Internship Program by collecting and filing weekly intern summaries, organizing field day outings, and ensuring time sheets are submitted on a timely basis.
  • Recruit and pre-employment duties include sorting, filing, and uploading resumes to iCIMS, screening candidates, and scheduling interviews, processing background checks, conducting reference checks, and printing results.
  • Assist with career fairs and send postcard/welcome to all new hires, create and distribute new hire announcements, and manage credit card expenses and codes appropriately for the HR department.
  • Perform general administrative tasks, including reception backup, mail sorting, FedEx processing, and ensuring employee intranet is updated with accurate information.
  • Assist with HR audits, employee requests, and miscellaneous payroll and human resources duties as assigned.
Qualifications
  • Bachelor's degree in Human Resources, Labor Relations, or related field, plus 1 year of experience or internship in Human Resources preferred.
  • Proficiency in Microsoft Office Suite, strong Excel skills.
  • Excellent organizational, verbal, and communication skills.
  • Ability to multi-task, team-oriented, and self-motivated.
  • Ability to maintain employee confidence and protect payroll operations by keeping information confidential.
