Position Summary:
This role is crucial for managing front desk operations and ensuring a welcoming atmosphere for both visitors and staff. The position also includes supporting the Human Resources department in onboarding and organizing employee engagement initiatives to fulfill the organization's mission.
Key Responsibilities:
- Assist in managing front desk duties to ensure continuous coverage.
- Procure office supplies and gifts for staff, distributing them as needed.
- Coordinate the reservation of meeting rooms.
- Maintain the cleanliness and organization of the front desk area, supply rooms, and library.
- Guide applicants during their visit and assist with inquiries.
- Oversee library operations, including check-out and inventory management.
- Administer the Employee Recognition Program.
- Provide a warm welcome to all guests and staff members.
- Record visitor information and issue guest identification badges.
- Inform relevant personnel when guests arrive and direct them appropriately.
- Manage incoming emails and respond as necessary.
- Distribute daily mail.
- Check and respond to voicemails, ensuring messages are relayed correctly.
- Order and manage office supplies and name badges for various departments.
- Update and maintain the front desk procedure manual.
- Create ID badges and manage parking permits, including record-keeping for lost items.
- Send thank-you notes to ministry partners.
- Conduct tours of the headquarters for visitors as required.
- Update electronic records and information on internal platforms.
- Oversee volunteer management, including coordinating needs and recognition events.
- Plan and execute employee engagement activities.
- Evaluate volunteer applications and process them accordingly.
- Assist the Onboarding Team with orientation and other assigned tasks.
Skills and Competencies:
- Proficient in operating Windows-based systems and strong computer skills.
- Skilled in Microsoft Office Suite: Word, Excel, PowerPoint.
- Excellent verbal, written, and interpersonal communication abilities.
- Strong organizational skills with attention to detail and data entry proficiency.
- Able to interpret and enforce policies and procedures effectively.
- Demonstrated time management skills with the ability to multitask.
- Capable of handling confidential information with discretion.
- Strong problem-solving abilities.
- Exceptional customer service skills and phone etiquette.

- Preferred: Graduate or current student of Charis Bible College.

- Minimum of 1 year in a customer service position.
- Familiarity with Charis Bible College and Andrew Wommack Ministries is advantageous.
