Position Summary

The Manager of Food Pantry Programs plays a vital role within the leadership team at West Suburban Community Pantry. This position is chiefly responsible for supervising the Pantry staff, managing daily operations, overseeing the client and inventory management systems, and ensuring seamless integration across all food assistance programs. The Manager guarantees that West Suburban Community Pantry, encompassing its retail store, school pantry, and online marketplace, delivers high-quality food services that effectively address the needs of its clients. This role reports directly to the Director of Operations.

Key Responsibilities

  1. Lead and train all operational staff under the Manager of Food Pantry Programs, currently comprising five positions.
  2. Oversee all Food Programs, including the In-Person Market, Online Market, remote locations, Senior Home Delivery service, and school snack initiative.
  3. Ensure that all program updates and information are communicated to relevant stakeholders.
  4. Evaluate and enhance food programming as necessary to better serve the community.
  5. Manage inventory, sourcing from various vendors when required, and ensure that products are distributed to clients through the In-Person Market, Online Market, and offsite locations.
  6. Monitor food costs and inventory for both pantry locations and the online store; provide training and guidance to ordering staff to maintain budget compliance.
  7. Supervise the inventory tracking system and client database, including training staff and volunteers on its operation and ensuring accurate logging of donations and client visits.
  8. Update and ensure that products are listed on the Online Market, including adding new images and verifying that all items have correct weights and pricing.
  9. Collaborate with volunteers and staff to maintain the integrity of the database, ensuring timely checks and merging of duplicate entries.
  10. Address database issues in coordination with the web developer.
  11. Collect, maintain, and communicate data regarding food programming services; report monthly to the Food Bank and leadership as needed regarding client usage statistics.
  12. Communicate with the Food Bank about any discrepancies in orders, pantry closures, and retail donor concerns.
  13. Maintain relationships with retail partners, notifying them when pickups cannot be made.
  14. Respond to all non-food drive inquiries related to food donations.
  15. Ensure a safe, secure, and healthy work environment.
  16. Participate in staff meetings, required training sessions, and major fundraising events.
  17. Perform additional duties as assigned by the Director of Operations or Executive Director.
