Position Overview:

Key Responsibilities:
Administrative duties include, but are not limited to:

  • Managing phone calls, triaging inquiries, and scheduling appointments as the initial point of contact for patients.
  • Preparing the provider's clinic to ensure all necessary information is available for efficient operations.
  • Facilitating the smooth running of the provider's clinic.
  • Employing customer service techniques to interact with patients in a calm and pleasant manner.
  • Confirming, canceling, rescheduling, and updating patient appointments as requested by patients or providers.
  • Entering and updating patient records, obtaining necessary authorizations.
  • Timely follow-up on patient inquiries and concerns.
  • Scanning documents into patient charts and faxing required paperwork.
  • Effectively communicating and fulfilling requests from other medical offices, including faxing patient medical records.

Time Management:
The working hours are from 8:30 AM to 5:00 PM, with some clinic days extending beyond 5:00 PM. While staying late is not mandatory, assistance may be requested until the surgeon completes their schedule or daily tasks are finalized.

Requirements:

Education:
High school diploma or GED certificate.

Experience:
Preferred one year of experience in a medical office setting. Basic proficiency in Microsoft Office and EMR systems is essential.

Qualifications:
Candidate must possess:

  • A cooperative attitude towards colleagues, management, patients, visitors, and physicians.
  • The ability to enhance the facility's image positively.
  • Strong decision-making and problem-solving skills.
  • Capability to work effectively as part of a team with physicians and other staff.
  • Proficiency in interacting appropriately with patients and their families.
  • Flexibility to adapt to changing demands.
  • A willingness to work a flexible schedule, including late hours and through lunch breaks on busy clinic days.

Physical and Mental Requirements:
Responsibilities include varied activities such as sitting, standing, walking, stooping, lifting, bending, and reaching. Candidates must be able to use proper body mechanics for patient transfers and assistance with mobility and dressing. The ability to lift up to 30 pounds is required. Occasional stress may arise from workload demands. Proficiency in using various office equipment, including phones, copiers, writing instruments, PCs, and fax machines, is necessary.
