The Payroll Operations Coordinator is accountable for managing all facets of payroll administration, ensuring precise and prompt remuneration for all personnel. Key Responsibilities

The primary duties include, but are not limited to:

  • Supervise the daily operations of payroll processing
  • Execute weekly payroll cycles for all staff, ensuring accuracy and punctuality
  • Meticulously input payroll information including new hires, terminations, and pay rate adjustments
  • Calculate and process deductions such as taxes, benefits, garnishments, and other withholdings
  • Maintain precise payroll records and employee documentation
  • Prepare and submit payroll reports, detailing earnings, deductions, taxes, and other necessary information
  • Conduct regular internal audits to ensure the integrity and compliance of payroll data. Assist with external audits by providing necessary records and documentation
  • Address and resolve employee inquiries related to payroll matters
  • Ensure adherence to federal, state, and local payroll, wage, and hour regulations and best practices
  • Identify and propose enhancements to payroll processing software, systems, and procedures
  • Manage the issuance or reissuance of physical or replacement checks or direct deposits due to payroll discrepancies or final discharge
  • Verify that federal and state payroll tax deposits are completed quarterly and at year-end

Required Qualifications

  • Bachelor's degree in Accounting, Finance, Human Resources, or a related discipline is preferred
  • Minimum of 2 years of payroll processing experience with a strong understanding of payroll practices, regulations, and tax laws
  • Extensive knowledge of payroll functions including preparation, balancing, internal controls, and payroll taxes
  • Proficiency in payroll software (e.g., UKG, ADP) and Microsoft Office Suite
  • Exceptional interpersonal skills with a professional and approachable demeanor
  • Strong customer service orientation, both internally and externally
  • Highly organized with a keen attention to detail
  • Demonstrated ability to manage multiple tasks and meet deadlines
  • Strong decision-making and problem-solving capabilities
  • Adaptable to change with a willingness to learn and develop
  • Excellent written and verbal communication skills
