QUALIFICATIONS REQUIRED
- Minimum of 5 years of financial management experience in the Architecture and Engineering sector
- Familiarity with Deltek Ajera software is advantageous
- Proficiency in Microsoft Office Suite is essential
- Comprehensive understanding of financial practices within a design organization
- Basic knowledge of Generally Accepted Accounting Principles (GAAP)
- Experience in Human Resources management is a plus
- Familiarity with AIA Documents is beneficial
- Strong organizational skills, flexibility, and a proactive attitude are crucial
KEY RESPONSIBILITIES
Financial Management
- Execute all accounts payable and receivable tasks utilizing Deltek Ajera
- Oversee project initiation and financial tracking in Deltek Ajera throughout the project lifecycle
- Ensure timely vendor invoice approvals and entries into the accounting system
- Generate monthly client invoices using a progressive billing approach
- Reconcile bank and credit card accounts monthly
- Monitor accounts receivable aging weekly and engage with clients as needed
- Manage payroll processes using Paychex on a semi-monthly basis
- Process employee expense reimbursements
- Maintain accurate financial records and a balanced general ledger
- Provide financial reports and insights to leadership as required
- Act as a liaison with CPA for tax-related matters and compliance throughout the fiscal year
- Collaborate with entities requiring financial audits and reporting
- Handle sensitive company information with utmost confidentiality
Administrative Duties
- Prioritize and manage tasks effectively, exercising sound judgment for the benefit of the firm
- Maintain corporate entity compliance and complete annual filings
- Track professional licenses for the firm and its employees
- Complete client-specific project reporting as necessary
- Prepare AIA Contract documents for architectural projects
- Keep vendor records, insurance certificates, and W-9s up to date
- Consult with corporate legal counsel regarding potential legal matters
Human Resources Management
- Provide guidance on employment and company benefits for a team of over 28 individuals
- Manage employee onboarding and offboarding processes
- Screen and distribute incoming resumes, schedule interviews, and communicate with candidates
- Maintain personnel files and track time off and utilization rates
- Administer the employee performance appraisal process
- Coordinate with insurance agents for renewals and employee enrollments in medical, dental, vision, life, STD, LTD, and ADD insurance
- Oversee all fiduciary aspects and administration of the 401K Program in compliance with third-party administrators
- Supervise administrative support staff
