Job Title: Customer Service Correspondence Clerk

Job Summary:

We are seeking a highly organized and detail-oriented Customer Service Correspondence Clerk to join our team at Hackensack Meridian Health. As a key member of our customer service department, you will be responsible for managing all correspondence, paper and electronic lockbox mail, and ensuring timely assignment of correspondence/mail to team members.

Key Responsibilities:

  • Manage and distribute all incoming correspondence, paper and electronic lockbox mail, to ensure timely processing and assignment to team members.
  • Screen mail for legal requests, subpoenas, and bankruptcies, and distribute accordingly, reaching out to supervisor for guidance as needed.
  • Update return mail patient demographics in EPIC using electronic files provided by the statement vendor.
  • Log on to the phone system when call queue is high, take messages for customer service reps for patient call back.
  • Take and apply patient payments via EPIC encrypted device or bank portal, and document all patient payment transactions and patient conversation in EPIC.
  • Submit requests for medical records, reactivate accounts from history, and drop itemized bills and UBs upon request.
  • Prepare and submit incoming checks to the Cashier within 24 hours of receipt.
  • Cover lobby front desk as needed, and handle all clerical functions for the department, including faxing, scanning, and emailing documents to attorneys/agencies.

Requirements:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Minimum of 2+ years of experience in a related field.
  • Some business experience.
  • Excellent written and verbal communication skills.
  • Excellent telephone skills.
  • Excellent computer skills, preferably including but not limited to Microsoft Office and/or Google Suite platforms.

Preferred Qualifications:

  • Hands-on basic knowledge of the EPIC system.
  • Bilingual English/Spanish a plus.
  • Previous experience in the same or similar capacity in a hospital.
  • Experience in working in a high-volume office environment.
  • Customer Service skills.
