Job Summary:

The Customer Service Correspondence Clerk is responsible for managing all incoming and outgoing correspondence, including mail and electronic lockbox returns. This role requires excellent communication and organizational skills, as well as the ability to work in a fast-paced environment.

Key Responsibilities:
  • Manage and distribute incoming mail and electronic lockbox returns to the appropriate teams and individuals.
  • Screen mail for legal requests, subpoenas, and bankruptcies, and distribute accordingly.
  • Update patient demographics in EPIC using electronic files provided by the statement vendor.
  • Log onto the phone system to take messages for customer service representatives and handle patient calls.
  • Process patient payments via EPIC encrypted device or bank portal.
  • Document all patient payment transactions and conversations in EPIC.
  • Submit requests for medical records, reactivate accounts from history, and drop itemized bills and UBs upon request.
  • Prepare and submit incoming checks to the Cashier within 24 hours of receipt.
  • Work assigned WQs in a timely manner and cover the lobby front desk as needed.
  • Perform all clerical functions for the department, including faxing, scanning, and emailing documents to attorneys and agencies.
Requirements:
  • High School diploma or equivalent.
  • Minimum of 2+ years of experience in a related field.
  • Excellent written and verbal communication skills.
  • Excellent telephone skills.
  • Excellent computer skills, preferably including Microsoft Office and/or Google Suite platforms.
Preferred Qualifications:
  • Hands-on basic knowledge of the EPIC system.
  • Bilingual English/Spanish a plus.
  • Previous experience in the same or similar capacity in a hospital.
  • Experience in working in a high-volume office environment.
  • Customer Service skills.
