Position Overview:

The HVAC Service Operations Supervisor will be responsible for:

  • Collaborating with dispatchers and clients to arrange maintenance inspections conducted by field technicians.
  • Reviewing daily maintenance work tickets, updating records, and ensuring follow-up with relevant team members.
  • Creating customized Maintenance Inspection Deficiency Reports tailored to client specifications.
  • Coordinating follow-up maintenance visits until all tasks are completed.
  • Maintaining inventory lists of maintenance materials for each client site.
  • Acquiring necessary materials for scheduled maintenance based on specific plans.
  • Processing maintenance requests and service orders through various communication channels.
  • Assisting the dispatcher with daily responsibilities during their absence.
  • Conducting all communications via phone and computer; this is an office-based role with no fieldwork required.

Key Responsibilities:

  • Engaging with clients both internally and externally.
  • Accurately documenting all client equipment, material lists, and maintenance services in a timely manner.
  • Ensuring maintenance plans are followed from contract initiation to renewal, with clear documentation of inspections.
  • Collaborating with technicians and client representatives to ensure accurate record-keeping.
  • Prioritizing tasks effectively and maintaining organization in workflow.
  • Demonstrating the ability to multitask while actively listening and documenting notes.
  • Adhering to and enhancing existing procedures as defined by the service team.

Qualifications:

  • Exceptional organizational skills with the ability to prioritize and manage multiple tasks.
  • Focused and detail-oriented with strong follow-up capabilities.
  • Proficient in Microsoft Excel, Word, Outlook, and general computer applications.
  • Excellent customer service skills with the ability to communicate effectively via phone and email.
  • Ability to work under pressure while managing competing responsibilities with accuracy.
  • Resourcefulness is considered an asset.
  • Team-oriented mindset.
  • Integrity and a strong work ethic are essential.
