Job Description

We are seeking a highly skilled Commercial Property Operations Specialist to assist our Property Manager with the day-to-day operations of a portfolio of commercial shopping centers based out of our Phoenix, AZ office.

This is an excellent opportunity for a motivated and organized individual to join our team as we strive to provide exceptional service to our tenants, vendors, and clients. As a key member of our team, you will be responsible for coordinating property maintenance and repairs, assisting with CAM reconciliation and budget processes, and fostering positive relationships with all stakeholders.

  • Key Responsibilities:
  • Process daily/weekly invoices in Yardi A/P system.
  • Assist in preparing and monitoring Accounts Receivables, Accounts Payables, variance reports, gross sales reports, and certified rent rolls.
  • Respond to tenant inquiries and route as necessary.
  • Monitor and collect rent, tracking any unpaid balances.
  • Obtain bids for property projects and services.
  • Prepare service contracts, Possession Letters, Rent Commencement Letters, etc.
  • Assist in quarterly and annual CAM conciliations.
  • Participate in the preparation of annual operating budgets and reforecasting.
  • Prepare semi-annual tax billings, insurance billings, and other tenant billings.
  • Coordinate and schedule vendor maintenance on properties throughout the portfolio.
  • Distribute monthly tenant statements and review for accuracy.
  • Participate in timely site inspections/walk-throughs of properties, requiring travel.
  • Respond to after-hour emergency calls relating to the property when necessary.

Requirements:

  • An Associate's degree or equivalent from a college or technical school; or 2-3 years of related experience and/or training; or equivalent combination of education and experience.
  • Proficient with Yardi and Kardin preferred; similar systems okay.
  • Ability to read and interpret leases, CC&R's, and REA's.
  • Excellent communications (written and verbal) & customer service skills.
  • Willing and able to travel to sites.
