Facilities Maintenance Manager

The Facilities Maintenance Manager will be responsible for overseeing the day-to-day physical building and related support systems of the project under the supervision of the Contract Operations Manager. This includes working directly with the Contract Operations Manager and the Director of Operations to implement and maintain the energy management system, preventive maintenance, quality standards, operating objectives, and goals of the contracting office and Didlake.
Key Responsibilities- Maintain relationships with the facilities staff to update work orders and preventive maintenance tickets.
- Mentor subordinate staff with on-the-job training opportunities and planned training for technicians.
- Administer inventory control programs and systems to ensure the availability of parts and supplies, accurate and timely records of receipts and invoices, and assist management in the day-to-day financial transactions, selection, administration, and evaluation of suppliers and contractors.
- Coordinate bidding and pricing, recommend vendors/contractors, and manage subcontractors.
- Issue purchase orders based on management policies, procedures, and the terms of the contract, confirm receipt of goods or services, evaluate performance, and evaluate costs.
- Coding of accounts payable invoices, approving accounts payable invoices, administration/maintenance of quality and cost controls, maintaining accurate, timely expense records and files, and developing/administering capital and operating budgets with management.
- Manage the property within the parameters of the budget and any management business plans, hire, train, and supervise maintenance, security, and cleaning staff, and maintain compliance with all Didlake personnel policies and procedures.
- Initiate, contract, and administer all necessary services to maintain and enhance the value, operating efficiency, and physical appearance of the property, including project staff, contracted services, quality and performance standards for staff and contractors ensuring compliance with agreements, and contracting and monitoring qualified contractors and tradespeople needed for project work.
- Maintain current certificates of insurance for all contractors, monitor and oversee plant operation, note standard and non-standard conditions, and know when to seek assistance from the Contract Operations Manager and/or outside vendors.
- Assure all equipment is operated and maintained within the manufacturer's specifications and the operating guidelines of the property, conduct weekly walk-throughs of the facility to ensure all areas are aesthetically kept up to Didlake standards, and conduct weekly walk-throughs of the facility with the custodial team to ensure all areas of the facility are meeting Didlake standards.
- Understand and establish and/or improve preventive maintenance and overhaul schedules for all equipment and mechanical systems within the project, monitor and control the effectiveness and efficiency of energy usage without compromising tenant comfort, understand OSHA guidelines and how to ensure that all equipment is maintained to guidelines/standards, and prepare and update weekly reports and provide a copy to the Contract Operations Manager.
- Execute performance testing on equipment using the appropriate tools/equipment, read and comprehend blueprints and schematic diagrams of wiring, HVAC, plumbing, pneumatics, and building construction, and execute routine preventive maintenance programs in the face of interruptions.
- Test, maintain, and restore to working order any component of the main engineering systems used within a property, including HVAC, chilled water, plumbing, electrical, and structural, operate and use necessary manual and power-driven tools, and lift and carry objects of up to 50 lbs for distances of up to 30 ft.
- Respond appropriately to and assist emergency response personnel, at any time when on duty or on call, test, maintain, and restore to working order any component of the emergency systems used within a property, including fire alarm, fire suppression, fire pump, generator, and electrical, and ensure compliance with the emergency procedures for each property in conjunction with local jurisdiction and management guidelines.
- Build and maintain effective communications and relationships with the Contract Operations Manager, Director of Operations, Staff, tenants/occupants, vendors, contracting officers, and peers, communicate about practical building systems (HVAC, maintenance, etc.) issues, and convey thoughts and recommendations orally and/or in writing to supervisors, contractors, and others in order to solve building-related problems.
