We are seeking a meticulous individual to fulfill the role of Maintenance Department Administrative Support Specialist. This position entails providing essential administrative assistance to the Maintenance Department.
Role OverviewEngage in a variety of administrative functions to support the Maintenance Department, which includes managing phone communications, organizing service requests, and maintaining accurate records.
Primary Duties- Handle incoming calls and document pertinent information. Ensure timely response to resident inquiries.
- Process service requests submitted by residents through digital systems.
- Allocate service requests to maintenance staff.
- Oversee and update service request documentation.
- Maintain access control logs for various facilities.
- Provide training for new personnel on office protocols and software systems.
- Keep detailed logs for pest management, security alarms, visitor entries, and more.
- Offer administrative support to the Maintenance Director.
- Ensure the security of office premises and equipment on a daily basis.
- 1-2 years of experience in an administrative capacity, ideally within a maintenance context.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Fluency in English is required; knowledge of Russian and Chinese is advantageous.
