Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide confidential and administrative support to our Legal Services program and the office of the general counsel. This role will also be utilized for supporting confidential processes within the human resources and finance departments.
Key Responsibilities- Provide exceptional administrative support to the general counsel and Legal Services team, including managing calendars, deadlines, and to-do lists.
- Respond to member inquiries, provide accurate information, and assist with case status and scheduling.
- Manage electronic and paper case files, update records, and prioritize cases that require attention.
- Prepare, draft, and finalize correspondence and legal forms to maintain seamless communications with members and outside counsel.
- Collaborate with field staff and other staff to maintain membership records and ensure continuity of legal services.
- Document billable hours, prepare and maintain the legal budget, and maximize legal reimbursements.
- Support personnel-related processes, including staff hiring, onboarding, benefit enrollment, payroll, and leave tracking.
- Provide administrative support for multiple committee meetings, workshops, and conferences, including setup, materials preparation, and meeting minutes.
- Observe confidentiality and extreme discretion in all aspects of the role.
- Bachelor's degree or equivalent experience in a related field, including some legal experience, human resource experience, and accounting or bookkeeping practices.
- Exceptional attention to detail, excellent computer skills, and ability to learn new software.
- Excellent editing and business writing skills, with the ability to handle multiple priorities and meet deadlines.
- Self-direction, excellent interpersonal and judgment skills, and a commitment to discretion and confidentiality.
- Experience working in a similar role, preferably in a union or non-profit organization.
- Knowledge of Microsoft applications and ability to learn new databases or software.
- Notary Public certification and reliable transportation to and between work locations.
