Key Responsibilities
Calendar Management: Efficiently oversee the President's calendar, including scheduling appointments, organizing meetings, and arranging travel logistics with precision.
Email Oversight: Actively manage the President's email correspondence, prioritize incoming communications, draft replies when necessary, and ensure a seamless flow of information.
Communication Facilitation: Serve as the primary contact for the President, managing all communication with discretion and professionalism, including phone interactions and written correspondence.
Document Preparation: Draft, review, and refine various documents such as emails, reports, presentations, and other critical communications. Ensure systematic organization and accessibility of essential files.
Meeting Coordination: Organize logistics for meetings and events, including preparation of materials, technology setup for virtual meetings, and providing summaries and follow-up action items.
Project Coordination: Assist in overseeing projects by facilitating interdepartmental communication, tracking progress, and contributing to the timely completion of objectives.
Administrative Support: Perform a range of administrative tasks including expense management, office supply organization, and ensuring the office operates smoothly and efficiently.
Qualifications
Experience Required: At least 3 years of experience in an Executive Assistant position, preferably within the insurance sector or a related industry.
Organizational Skills: Outstanding organizational and multitasking abilities, with a proven track record of prioritizing and executing tasks in a high-pressure setting.
Communication Skills: Excellent written and verbal communication skills, with proficiency in managing professional correspondence and creating impactful presentations.
Technical Proficiency: Advanced knowledge of MS Office Suite, particularly Outlook for email management, along with familiarity with standard communication tools.
Positive Attitude: Exhibits a positive, proactive demeanor with strong problem-solving skills and a diplomatic approach to challenges.
Educational Background: A Bachelor's degree in Business Administration, Communication, or a related field is preferred. Relevant certifications in executive assistance or office management will be considered advantageous.
