The Clinical Administrative Coordinator plays a vital role under the guidance of the Director of Nursing, ensuring the smooth and efficient functioning of the nursing department in both Skilled Nursing and Assisted Living settings.
Key ResponsibilitiesStaff Scheduling:
- Create and manage staff schedules to guarantee adequate coverage.
- Address open shifts, manage call-ins, and process time-off requests.
- Ensure accurate timesheet completion for payroll purposes.
Supply Management:
- Order and maintain inventory levels of medical supplies and forms on a weekly basis.
- Communicate inventory needs to the Director of Nursing and place orders accordingly.
- Monitor item usage and prepare monthly reports for billing purposes.
Expense Reporting:
- Code and submit invoices for departmental expenses.
Quality Assurance:
- Assist with audits of resident assessments and documentation to ensure compliance with regulatory standards.
- Maintain accurate resident records and oversee necessary training and certifications.
Compliance and Records Management:
- Manage resident charts, ensuring timely completion and proper signatures on documentation.
- Conduct monthly audits of physician and nursing documentation for accuracy.
- Oversee the management, storage, and destruction of medical records.
Administrative Support:
- Organize and prepare for meetings, including agenda creation and minute-taking.
- Ensure readiness of charts for new admissions and maintain nursing station organization.
- Handle incoming calls at the nursing station, especially during meal times.
- Assist in the creation and distribution of forms and spreadsheets for the unit.
