Job Description

Associa is seeking a highly organized and customer-focused individual to join our team as a Customer Service Representative - Lobby Lead. This role will be responsible for providing exceptional service to homeowners and board members, ensuring a positive experience for all clients.

Key Responsibilities:
  • Address walk-in clients during lobby hours, providing assistance and resolving issues in a timely and professional manner.
  • Manage inventory stock of client needed items, including keys, stickers, fobs, pet tags, and pool passes.
  • Update and maintain client database with changes to pool, keys, parking, moves, etc.
  • Check and distribute the fax email inbox, ensuring timely communication with clients.
  • Answer emergency calls and forward as necessary, providing support to clients in need.
  • Work directly with Community Managers to review changes to rules and regulations related to pool, keys, parking, moves, etc.
  • Address incoming customer care mail on a daily basis, ensuring prompt response to client inquiries.
  • Follow up on returned homeowner move fees and room rental fees, ensuring accurate and timely processing.
  • Receive all packages and distribute to the correct departments, ensuring efficient and secure delivery.
  • Support the customer service team with voice mails and emails during downtime, providing additional assistance as needed.
  • Greet, direct, and document all visitors, vendors, clients, job candidates, new employees, and customers, ensuring a positive and welcoming experience.
  • Answer the main line phone and direct calls accordingly, providing exceptional service to clients.
  • Sort and distribute the UPS mail to the correct department, ensuring timely and accurate delivery.
Requirements:
  • Organized, responsible, dependable, positive attitude, and professional demeanor.
  • Administrative skills and experience, including typing, data entry, faxing, copying, and mailing.
  • Solid background in customer service, with excellent written and verbal communication skills.
  • Real estate or property management experience is a plus.
  • Excellent customer service and service recovery skills, with the ability to handle multiple tasks and priorities.
  • Proficient in navigating the internet and using various software applications.
  • Ability to work in a fast-paced environment, with minimal supervision, and adhere to firm, pre-determined break periods.
  • English-Spanish bilingual is a plus.
