Job Overview

The HVAC Service Dispatcher plays a crucial role in the efficiency of the Service Department at Perfectemp, Inc. This position reports directly to the Service Manager and is integral in managing field productivity and profitability.


Key Responsibilities:
  • Assist the Service Manager in organizing and coordinating departmental resources and objectives.
  • Handle incoming service requests and generate work orders.
  • Anticipate workload for the upcoming days and manage the dispatch board effectively.
  • Schedule service appointments while considering the complexity of tasks and the expertise of available technicians.
  • Conduct debriefings with technicians post-service calls and follow up on any outstanding work.
  • Collaborate with accounts receivable to address collection issues.
  • Oversee the scheduling of parts and manage special orders.
  • Complete service technician timesheets utilizing GPS data.
  • Address customer complaints promptly and efficiently, reporting significant issues to the Service Manager.
  • Engage with suppliers regarding parts performance and availability, escalating critical issues as necessary.
  • Perform additional duties as assigned by the Service Manager.

Qualifications:
  • Demonstrated experience in a customer service role, ideally within the HVACR contracting or building services sector.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Familiarity with the geographical service area.
  • Exceptional verbal and written communication skills, capable of interacting with diverse customer groups and personnel at all levels.
  • Basic understanding of HVACR terminology is advantageous but not mandatory.
  • Ability to support technicians in delivering prompt and efficient service.
