- Deliver professional and timely assistance to clients, representing the organization with integrity.
- Support the execution of customer service initiatives across the organization.
- Maintain accurate records of client interactions and manage various databases to enhance service quality.
- Compile and distribute a range of reports on a weekly, monthly, quarterly, and annual basis as required.
- Draft and prepare correspondence and reports, ensuring high standards of grammar and formatting.
- Organize and maintain departmental files, including archiving and storage processes.
- Coordinate meeting schedules as needed.
- Utilize state management information systems to retrieve and share relevant reports with staff.
- Document customer interactions meticulously, including inquiries, complaints, and resolutions.
- Direct unresolved issues to the appropriate departments for further action.
- Communicate effectively with colleagues, management, and clients in a professional manner.
- Provide coverage at the reception area when necessary.
- Operate office equipment efficiently, including copiers and fax machines.
- Manage incoming mail by sorting and distributing it appropriately.
- Create and organize files as required.
- Adhere to all organizational policies and procedures.
- Respond promptly to telephone calls and written correspondence.
- May undertake additional responsibilities as needed to ensure quality service delivery.
- A high school diploma or equivalent is required, along with a year of experience in a clerical or administrative role.
- Proficiency in office equipment and software, including word processing and spreadsheets, is essential.
- Strong communication and interpersonal skills are necessary, with an understanding of funding resources for employment training programs.
- The ability to build and maintain effective working relationships with colleagues and the public is crucial.
- Capability to manage multiple tasks efficiently within tight deadlines is required.
