Job Summary

Child & Family Focus, Inc. is seeking a highly skilled IT and Facilities Coordinator to join our team. The successful candidate will be responsible for ensuring the efficient operation of our IT equipment and facilities, providing employees with optimal working conditions.

Key Responsibilities
  • IT Department:
    • Manage the onboarding process for new hires, including creating accounts, preparing equipment, training, and maintaining tracking spreadsheets.
    • Coordinate the termination process for exiting staff, including the return of equipment and processing.
    • Travel to various locations to meet with staff for training, assistance, or deploying equipment.
    • Respond to all helpdesk tickets within one business day, triage, and assist or delegate.
    • Maintain tracking systems, including asset databases, receipts for company property, phone allowance forms, and Ruby directories.
    • Maintain IT equipment both onsite and remotely.
    • Provide onsite IT assistance at all office locations.
    • Set up equipment to agency standards.
    • Dispose of outdated equipment.
    • Obtain quotes and purchase equipment according to agency needs and budgets.
  • Facilities Department:
    • Plan and coordinate all installations and refurbishments.
    • Travel to various locations for facilities maintenance and emergencies.
    • Manage the upkeep of equipment and supplies to meet health and safety standards.
    • Inspect buildings' structures to determine the need for repairs or renovations.
    • Review utilities consumption and plan ways to minimize costs.
    • Control activities such as parking space allocation, waste disposal, building security, and office space allocation.
    • Review supply orders for all office locations.
    • Monitor, review, and negotiate services for office locations, including cleaning services and water delivery.
    • Track and negotiate service contracts.
    • Keep financial and non-financial records.
    • Maintain inventory of all equipment and furniture.
    • Perform analysis and forecasting for the Facilities department.
  • Overall Responsibilities:
    • Assist with other agency projects and initiatives.
    • Implement changes and best practices for the IT and Facilities departments.
    • Use and implement the 5 core values of Trauma-Informed Care in all work practices – Safety, Trustworthiness, Choice, Collaboration, & Empowerment.
    • Complete agency and program trainings ongoing.
    • Other duties as assigned.
    Requirements
    • Essential Functions:
      • Read, write, and communicate effectively in various platforms.
      • Check emails and phone messages upon starting the day to check for any urgent matters that require immediate attention.
      • Utilize computer equipment, computer software, and office equipment.
      • Submit timecard, PTO requests, mileage, and expenses according to required schedules.
      • Drive in your own vehicle to assigned office locations as required.
      • Attend meetings, supervisions, sessions, and trainings ongoing.
      • Effectively communicate with CFF staff, vendors, and CFF leadership.
      • Organize equipment, supplies, and files as needed.
      • Adhere to ethical standards and guidelines set forth by CFF, county, state, and federal regulations.
      • Maintain client and staff confidentiality and privacy in accordance with HIPAA regulations.
    • Work Environment:
      • Standard office environment.
      • Demonstrate ongoing availability to work a hybrid schedule with 3 required in-office days per week.
      • This position includes the potential for 2 days per week of remote work.
      • Varied work schedule, evenings may be required based on need.
