We are seeking a highly organized and detail-oriented individual to join our team as a Service Coordination and Billing Specialist. A background in dispatching, accounting, and customer service, along with familiarity with generator systems, will be advantageous. The ability to remain composed under pressure and prioritize tasks efficiently is essential for success in this role.
Key ResponsibilitiesThe primary duties of the Service Coordination and Billing Specialist include:
- Scheduling Service Appointments: Responsible for receiving service requests and organizing appointments for generator maintenance, repairs, and inspections. Must coordinate technician schedules to ensure timely responses to customer needs.
- Routing Technicians: Determine optimal routes for technicians to reach customer locations, considering factors such as urgency, technician availability, and traffic conditions to maximize efficiency.
- Customer Communication: Act as the main point of contact for customers, providing updates on service appointments, estimated arrival times, and addressing any delays. Clear and courteous communication is vital for maintaining customer satisfaction.
- Work Order Assignment: Allocate work orders to technicians based on their skills and availability, ensuring they have all necessary information and resources to complete each job effectively.
- Job Progress Monitoring: Track the status of service calls and repairs to ensure timely completion, utilizing software systems to monitor technician locations and job statuses.
- Emergency Response Handling: Prioritize urgent service requests and dispatch technicians accordingly, maintaining composure under pressure to address critical situations swiftly.
- Record Maintenance: Keep accurate records of service calls, including customer details, job specifics, technician assignments, and relevant notes for performance analysis and billing purposes.
- Interdepartmental Coordination: Collaborate with other departments, such as sales and technical support, to ensure seamless operations and enhance customer satisfaction.
- Invoicing Management: Oversee the accuracy of invoices generated by technicians in the field and manage parts ordering and warranty repairs.
- Answering phone calls and dispatch inquiries, filing, and data review.
- Proficiency in Microsoft 365, particularly Excel.
- Scheduling and dispatching technicians for service, repair, and installation tasks.
- Generating and invoicing work orders.
- Ordering office supplies as needed.
- Taking minutes during monthly staff meetings.
- Assisting in emergency coordination efforts.
