The Client Care Coordinator / Scheduler will oversee staffing assignments, evaluate new clients, offer resources, and cultivate relationships with our in-field care professionals. This role will collaborate closely with the Owners, Recruitment and Retention Director, Community Care Liaison, and In-Field Lead Care Professional. We foster a cooperative team atmosphere and support one another throughout our endeavors. Our agency is forward-thinking and celebrates our achievements, ensuring that the hard work of our entire team is recognized.
As the Client Care Coordinator, your responsibilities will include:
• Providing professional and efficient assistance for all client and caregiver inquiries
• Organizing the staffing schedule for caregivers using our WellSky staffing system
• Establishing rapport and relationships with our staff, clients, and referral sources
• Acting as the first point of contact for incoming calls to the office
• Managing and triaging calls from caregivers, clients, and prospects
• Ensuring caregiver compliance
• Assisting with various administrative tasks/projects as directed by the owners
• Maintaining accurate database and file information for both caregivers and clients
• Collaborating with the leadership team to meet client staffing requirements
• Sending daily updates to the leadership team
• Participating in on-call duties as part of a shared rotation (weekend on-call bonus pay)
Skills/Qualifications:
• Prior experience in scheduling/staffing is essential, preferably in in-home care or home health
• Background as a Case Manager or Social Worker is preferred
• Experience with scheduling and tracking authorizations for VA home care programs is a significant advantage
• Quick learner with strong problem-solving and critical thinking abilities
• High attention to detail and a strong work ethic
• Professional demeanor
• Excellent verbal and written communication skills
• Exceptional customer service and interpersonal skills
• Organized with the ability to manage multiple tasks
• Capable of working independently and within a fast-paced team environment
• Proven leadership and management experience, fostering strong relationships with colleagues
• Proficient in basic computer software; experience with ClearCare/WellSky is desirable but not mandatory
• Flexible, reliable, and a team player
• Understanding of the Continuum of Care
