Position Summary: We are seeking a dedicated Service Coordinator to enhance our customer engagement and support our service team. Key Responsibilities:

  • Manage incoming service requests from clients, ensuring timely and effective responses.
  • Maintain strong relationships with internal and external stakeholders, advocating for a customer-first approach.
  • Utilize COINS ERP to input and oversee service requests, customer data, and modifications to service orders.
  • Handle billing processes, including invoice generation, charge calculations, and maintaining accurate billing records.
  • Oversee accounts receivable tasks, such as account reconciliation, payment processing, and follow-ups on overdue accounts.
  • Request and manage Certificates of Insurance (COIs) as necessary.
  • Draft and track Purchase Orders, ensuring efficient management of orders.
  • Assist with in-shop repairs and warranty claims to ensure prompt processing.
  • Conduct all written communications with clients and vendors related to job responsibilities.
  • Engage in training and educational opportunities to align with company goals and enhance personal development.
  • Collaborate effectively with team members while maintaining a professional work environment.
  • Perform additional duties as assigned by management to support overall operational success.

Qualifications:

  • High School diploma or equivalent required.
  • 1-2 years of experience in service industry billing preferred.
  • Familiarity with commercial and industrial HVAC systems is advantageous.
  • Knowledge of products relevant to HVAC service and maintenance is beneficial.

Work Schedule:

  • Standard hours are Monday through Friday, 7:30 AM to 4:30 PM, with a one-hour unpaid lunch break.
  • Any schedule changes must be approved by management.
