POSITION SUMMARY

As an Executive Assistant supporting our CFO, Chief of Staff/Strategy, and CLO, you will undertake a variety of administrative, organizational, and communication responsibilities. Your role is crucial in enabling our leaders to concentrate on strategic initiatives while ensuring smooth daily operations. This position involves managing schedules, coordinating meetings, handling communications, and facilitating efficient departmental operations. The ideal candidate will be a proactive problem solver with outstanding communication and interpersonal skills, coupled with a keen attention to detail. Previous experience in an office setting performing administrative tasks is essential. This role offers part-time hours ranging from 10-20 per week, with potential for full-time employment.

KEY RESPONSIBILITIES

  • Manage sensitive information with discretion and integrity, ensuring confidentiality and privacy in all communications and documents.
  • Coordinate and oversee complex calendars, schedule meetings, and provide timely reminders for executives and key stakeholders.
  • Support executives in focusing on strategic initiatives, including mergers and acquisitions, Board of Directors activities, and technology protection by effectively managing daily operations.
  • Assist in organizing and tracking various projects, ensuring deadlines are met, and facilitating communication among teams and stakeholders.
  • Arrange travel itineraries, accommodations, and logistics for department leaders and team members as needed.
  • Help organize and coordinate events, conferences, and departmental gatherings.
  • Maintain and organize critical files, databases, and information systems related to technology initiatives.
  • Handle various administrative tasks such as expense reports, budget tracking, and other ad hoc requests from leadership.
  • Be prepared to address unforeseen challenges, adapt to changing priorities, and proactively seek solutions to enhance processes and support efficiency.
  • Assist leaders in preparing presentations by applying effective design principles and content curation.
  • Facilitate productive interactions and communication channels between leaders and their teams to foster collaboration and synergy.

Requirements

  • 3-5 years of proven experience as an executive assistant or in a similar role, preferably within the technology sector for senior executives.
  • Strong organizational and time management skills, with the ability to effectively support multiple executives.
  • Clear and concise communication skills, both verbal and written, while maintaining confidentiality.
  • General office experience with computers, Gmail, Google Sheets, and Slides.
  • Highly motivated and results-oriented with an entrepreneurial mindset.
  • Experience in booking domestic and international travel.
  • Prior experience managing vendors discreetly and professionally.
  • Ability to work collaboratively across all functions and levels of the organization.
  • Exceptional follow-up skills to ensure timely and thorough communication with leadership.
