Roger Williams University is seeking a highly skilled and detail-oriented Medical Secretary to join our Health Services team. As a Medical Secretary, you will play a critical role in supporting the professional staff and overall clinic operations of Health Services.
Key Responsibilities- Schedule clinic appointments for patients and instruct them on self-check-in and online appointment scheduling.
- Greet and check in patients, answer incoming telephone calls, and respond to voicemail messages.
- Refer calls to the appropriate person and follow through to ensure timely responses.
- Assess student needs and schedule appointments with the appropriate provider.
- Manage provider schedules to ensure efficient patient flow.
- Handle data entry of clinical information into the electronic health record, ensuring accuracy of health insurance, patient demographic information, and pertinent data.
- Ensure patients receive correct clinical forms and patient education handouts at checkout.
- Schedule follow-up appointments and arrange transportation for students as needed.
- Maintain a cash drawer with basic accounting for weekly cash deposits.
- Monitor incoming medical documents, scan them into the electronic health record, and forward to the appropriate provider.
- Perform all clerical functions for health care providers, including copying and filing pharmaceutical drug information handouts.
- Sort and route mail to staff for action and information, deliver outgoing mail and messages.
- Provide patient encounter forms to clinicians throughout the day.
- Process payments for medications, point-of-care testing, and laboratory tests.
- Manage laboratory specimen requisition forms for all laboratory tests.
- Maintain office supply inventory and ensure cleanliness of the reception area, patient waiting room, and self-check-in kiosks.
- Manage in-person and telephone encounters with students, parents, University staff, and faculty.
- Interact with Public Safety, Housing, Athletics, Uber Health, and ambulance services.
- Assist with screening and entering immunizations, tracking compliance with required health forms, and sending weekly emails to incoming students.
- Maintain patient confidentiality as governed by HIPAA/FERPA regulations.
- High School diploma or GED.
- Minimum of one to two years of Medical Secretary/Receptionist experience in a clinic setting.
- Proficient computer skills and efficiency utilizing complex computing applications.
- Excellent verbal and written communication skills.
- Ability to function independently, attend to detail, multitask, work under pressure, and maintain productivity without close supervision.
- Excellent organizational and interpersonal skills.
- Ability to deal effectively and efficiently with students, faculty, administration, staff, and the public in a professional manner.
- Ability to learn and follow policies and procedures of the Health Services Department.
- Maintain patient confidentiality as governed by HIPAA/FERPA regulations.
- Knowledge of ICD-10 coding and medical billing.
- Associate's Degree in a related field.
- At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate an equivalent combination of education and experience specifically preparing the candidate for success in the position.
