Position Overview:

The role of the Deputy Clerk involves executing a diverse range of intricate and specialized administrative and technical tasks for the Motor Vehicle Division of the State of Colorado.

The incumbent is responsible for analyzing, regulating, and enforcing compliance with statutory mandates related to title and registration laws at both state and federal levels.


Supervision:

Reports to the Clerk and Recorder. No direct supervisory responsibilities.


Compensation:

Salary Range: NE6 - $25.87 per hour
Hiring Range: $22.50 per hour


Key Responsibilities:
  • Assist citizens with motor vehicle licensing, titling, and documentation.
  • Collect statutory revenues, including sales and use taxes.
  • Verify legal documents for adherence to state and federal regulations.
  • Ensure compliance with Department of Revenue policies and Gilpin County procedures.
  • Maintain confidentiality of sensitive information as per applicable laws.
  • Conduct complex administrative tasks in support of the Motor Vehicle Division.
  • Address public inquiries, resolve issues, and facilitate motor vehicle transactions.
  • Authenticate title documents and ensure their accuracy.
  • Assess and confirm filing requirements and associated fees.
  • Perform routine computer processes for system maintenance.
  • Manage off-counter tasks including processing dealer documents and mail requests.
  • Issue license plates and validate requirements for disability permits.
  • Process complex title transactions and maintain accurate financial records.
  • Prepare correspondence for dealers, financial institutions, and county officials.
  • Train new employees as needed.

Additional Duties:

Represent the Department of Revenue and maintain compliance with state and local authorities. Engage with customers to explain departmental functions and assist in report preparation. Maintain communication with other departments and manage end-of-day cash register operations.


Working Conditions:

The work environment is generally moderate in noise level, with typical office hours. Physical demands include sitting for extended periods, handling files, and operating office equipment.


Qualifications:

High School diploma or equivalent required; some college coursework in business or public administration preferred. Two years of relevant experience in a County Motor Vehicle Division or equivalent training is necessary.

  • Proficient in modern office practices and computer systems.
  • Strong communication skills, both verbal and written.
  • Ability to manage confidential information and maintain effective working relationships.
  • Capable of performing mathematical computations and managing financial records.
