Position SummaryThe Accounting Clerk, under the limited guidance of the Accounting Supervisor and Accounting Manager, will undertake a variety of standard accounting clerical responsibilities in the realms of accounts payable and accounts receivable, in addition to performing various other accounting department tasks as needed. This role necessitates significant interaction with different employees and management, who may be involved in the procurement and receipt of goods or services, as well as some engagement with customers making credit card purchases. The Accounting Clerk will also serve as the primary backup for the receptionist during breaks, lunches, vacations, and other absences.
Key ResponsibilitiesAccounts Payable- Match receiving documents, purchase orders, and invoices in preparation for processing.
- Investigate and resolve discrepancies, prepare schedules, and support purchases. Code and enter invoice packages into the accounting system.
- Select invoices for payment.
- Produce check runs and attach invoice packages to checks.
- Prepare manual checks as necessary.
- Code and enter data into the accounting system.
- Assist in reviewing vendor statements against the accounting system and resolve discrepancies or omissions.
- Support annual 1099 preparation.
- Conduct research and prepare analyses as required by management.
- Prepare daily sales invoices for distribution.
- Provide backup for coding and entering sales invoices and payments.
- Update customer master files as necessary.
- Assist in preparing and posting daily cash receipt deposits.
- Support processing of credit card sales by contacting customers as needed.
- Gather information to prepare fax authorizations, transmit authorizations, and track responses.
- Post authorizations and final sales to the credit card processing system.
- Prepare and distribute credit card reports.
- Act as the primary backup receptionist during breaks, lunches, vacations, and other absences as needed.
- During peak seasons, arrangements will be made to cover these duties with other personnel when required.
- Provide backup for sending, maintaining logs, and distributing faxes.
- Follow up on any daily/weekly faxes that are not received.
- Receive daily employee and production schedules.
- Maintain inventory schedules and shopping lists, and inform personnel of fax receipts.
- Prepare monthly sales reports and reconcile them with the accounting system and production system reports.
- Calculate costs for alcohol work orders and summarize costs in a monthly report.
- Enter grower weigh tags into commodity systems, run reports, and reconcile totals.
- Generate and distribute daily production reports.
- Cross-train for other tasks within the department.

Education and ExperienceHigh School diploma or GED is required. An AA Degree or equivalent is preferred, along with two years of related experience. Proficiency in Microsoft Word, Excel, and other computer applications is desirable.
Language SkillsAbility to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively communicate information verbally and in writing.
Mathematical SkillsAbility to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply basic algebra and geometry concepts.
Reasoning AbilityAbility to solve practical problems and deal with various concrete variables in situations with limited standardization. Ability to interpret a variety of instructions in written, oral, diagram, or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions.
Other RequirementsIntermediate or higher proficiency in word processing and spreadsheet applications. Intermediate or higher experience with Internet search engines. Basic or higher experience with database management applications. Typing speed of 40 words per minute or more and proficiency in ten-key by touch.
