Position Summary

The Student Records Analyst plays a crucial role in the Registrar's Office, acting as the primary contact for various stakeholders and overseeing all communication channels, including emails, phone inquiries, and in-person visits. This position is dedicated to delivering exceptional service to students, faculty, staff, alumni, and other community members. Key responsibilities include managing enrollment processes, course scheduling, classroom assignments, and registration, with a focus on analyzing complex workflows to identify opportunities for enhancement in data accuracy and accessibility. Additional duties involve supporting graduation and degree completion initiatives as required.

Key Responsibilities
  • Front Office Management: Oversee the Registrar's Office's front-office operations, including handling incoming calls, voicemails, and emails, while assigning support requests to appropriate staff members.
  • Customer Service Excellence: Provide informed guidance on university policies and procedures, ensuring a high level of customer satisfaction and redirecting inquiries as necessary.
  • University Bulletin Maintenance: Regularly update and maintain the University Bulletin.
  • Academic Coordination: Serve as the liaison for academic departments regarding class scheduling and room assignments.
  • Documentation Review: Review and update procedural documentation as needed.
  • Confidentiality and Compliance: Maintain strict confidentiality concerning student records and adhere to FERPA regulations.
  • Mandatory Reporting: Act as a Mandatory Reporter for the University’s Clery Act and Title IX responsibilities.
  • Training and Support: Provide training for student workers and staff on records-related tasks.
Data Management Responsibilities
  • Class Scheduling: Schedule classes within the student information system and coordinate room assignments.
  • Data Validation: Generate and validate data for various offices, resolving discrepancies as necessary.
  • Collaboration: Work with Registrar's Office team members and campus partners to enhance services and processes related to data management.
Required Skills and Knowledge
  • Understanding of FERPA regulations and student record management.
  • Ability to multitask effectively with strong organizational skills.
  • Excellent customer service skills, demonstrating tact and patience.
  • Strong written and verbal communication abilities.
  • Attention to detail and accuracy.
  • Proficiency in various technologies, including Microsoft Excel, Word, and Outlook; familiarity with PeopleSoft Campus Solutions and related systems is preferred.
  • Ability to foster effective working relationships across diverse academic disciplines.

Qualifications

Education and Experience: Bachelor's Degree or equivalent combination of education and experience that equips the candidate with the necessary skills.

Demonstrated understanding of higher education operations, including academic calendars, student transactions, and graduation processes.

Licenses/Certificates: Valid driver's license, passport, or lawful permanent residency as per DHS guidelines.

Preferred Qualifications: Previous experience in an academic environment is preferred. Strong oral and written communication skills are essential.

Work Schedule: This is a non-exempt position with standard hours from 8:30 AM to 5:00 PM, Monday through Friday. Remote work may be permitted in accordance with university policies.

Supervisory Duties: This role includes training and delegating tasks to graduate assistants within the Registrar's Office.

Additional Information: All staff positions are ineligible for visa sponsorship. Candidates must meet the definition of a US person as per ITAR regulations.

Physical Requirements:

Job involves sedentary work, with occasional lifting of light objects.
