Key Responsibilities:
Vendor Engagement
- Support the establishment and upkeep of collaborative relationships with numerous product suppliers through consistent communication.
- Set up new accounts in the accounting system for each new showroom product supplier.
- Facilitate effective communication with supplier representatives regarding departmental interactions and other pertinent business information for upcoming transactions. Maintain a professional rapport with suppliers through various communication channels.
Showroom Order Processing and Inventory Oversight
- Oversee the complete product lifecycle from order initiation to final payment.
- Enter showroom orders into the accounting software for tracking and documentation purposes.
- Assign identification numbers for new products based on supplier order codes. Organize items according to expense categories and supplier accounts. Craft precise and distinctive descriptions for items to assist the sales team in reordering for designers and clients.
- Collaborate daily with the finance department: process and submit invoices for received products, reconcile credits, and create debit memos for any missing or damaged items.
- Label and categorize each item according to retail pricing, shipping costs, and identification codes. This may involve researching items with custom features or recent price adjustments to ensure accurate pricing.
- Once products are ready for display, generate informative printouts for all furniture and wall décor, including images and detailed descriptions for client reference. Archive this information on the server in accordance with company standards.
Claims and Quality Control
- Notify supplier representatives of any missing or damaged items.
- Submit claims reports within the required timeframe, including photographic evidence and descriptions of damages and potential causes. Work towards solutions for damaged items by suggesting repairs or replacements.
- Manage the claims process from start to finish, which may involve writing debit memos against invoices, coordinating with repair technicians, following up with suppliers for assistance, and processing paperwork for replacement orders and returns.
Additional Responsibilities
- Reproduce product information as needed for clients.
- Order items for the showroom and cancel orders due to back-order situations.
- Maintain collaboration with warehouse personnel when handling received orders.
