Overview:

E3 Recruiting is seeking a skilled Air Ambulance Program Manager to lead, coordinate, and engage in the logistical, financial, and nursing operations of an air ambulance service. This position is crucial for ensuring the provision of exceptional patient care during medical flights. The Program Manager will supervise a team of medical personnel, work closely with pilots, medical staff, and operational teams, and ensure adherence to safety protocols and regulatory standards.

Primary Responsibilities:
  • Manage the execution of the medical program and its initiatives, ensuring alignment with the organization's mission and objectives.
  • Guarantee compliance with applicable laws, professional standards, and organizational policies.
  • Develop and implement innovative initiatives, long-term objectives, and strategies to enhance the program's efficiency and support the organization's strategic vision.
  • Lead a proactive risk management strategy in accordance with federal, state, and local regulations.
  • Identify and address risks associated with program operations.
  • Utilize an evaluation framework and performance metrics to assess the program's strengths and pinpoint areas for enhancement.
  • Act as the Quality Manager and Compliance Officer, reviewing medical documentation in partnership with the Medical Director.
  • Monitor safety standards and execute corrective measures to reduce risks.
  • Ensure compliance with HIPAA, EMTALA, NAAMTA, OSHA, and state regulations.
  • Promote a culture of continuous learning and professional growth among the medical team.
  • Play a significant role in recruiting, selecting, orienting, training, assigning, scheduling, coaching, and managing program staff.
  • Supervise, mentor, conduct performance evaluations, and lead a team of medical personnel.
  • Coordinate and deliver clinical education, and organize and maintain training records.
  • Ensure adequate staffing levels and manage scheduling for flight nursing and medical personnel.
  • Engage with clients and stakeholders to garner support for the program and gather feedback for improvements.
  • Oversee the collection and maintenance of patient records in accordance with confidentiality standards.
  • Develop, implement, and assess the risk management plan in collaboration with quality improvement, infection control, patient safety, and environmental management.
  • Ensure the program operates within the approved budget, managing expenses according to accounting practices.
  • Implement the policies, procedures, and practices of E3 Recruiting in consultation with the Medical Director and Chief Administrative Officer.
  • Conduct regular staff meetings and participate in company meetings, committees, and projects related to air ambulance operations and patient care.
  • Maintain active flight duty as per the Flight Nurse or Flight Paramedic job description, as demand and backup coverage dictate.
  • Obtain pre-flight medical reports to assess appropriate crew configuration and patient altitude requirements.
  • Be responsible for the base-specific Emergency Action Handbook and Medical Crew Safety Manual.
  • Inventory medical equipment, ensure all equipment is operational, track services performed, and monitor due dates for annual services.
  • Maintain medical supplies, oxygen bottles with accessories, and narcotic inventory.
  • Perform all other duties as assigned.
Supervisory Responsibilities:
  • Manage a team of Flight Nurses, Respiratory Therapists, and Paramedics.
  • Lead future team expansions, including Mission Coordinators, Clinical Supervisors, and Administrative Assistants.
Qualifications:
  • Education and Experience:
    • Bachelor's degree in nursing with a valid Florida State Registered Nurse License.
    • Certification in Flight Nursing (CFRN or CTRN).
    • A minimum of 5 years of experience as a Flight Nurse, with 2-4 years in a leadership or management role.
    • Strong knowledge of air ambulance regulations, aviation safety, and medical transport standards.
    • Current and valid certifications in BLS, ACLS, PALS, NRP, and PHTLS.
    • Strong organizational, communication, and problem-solving skills.
    • Ability to thrive in a fast-paced, dynamic environment with a commitment to patient-centered care.
  • Skills:
    • Proficiency in Microsoft Office and strong personal computer skills, including email, database management, and report generation.
