Role Summary
The Vial Production Assistant (VPA) plays a crucial role in the preparation and management of allergy vials, ensuring adherence to established protocols under the guidance of management. This position requires effective interaction with colleagues at all levels, active participation in departmental initiatives, and a commitment to the company's core values.
Key Responsibilities
- Prepare allergy vials using specified extracts in accordance with established guidelines.
- Maintain familiarity with extracts utilized in vial production and those designated for testing.
- Produce vials for reorder requests, both for internal use and external distribution.
- Create vials for new patient starts.
- Monitor and respond to phone messages, web orders, and refrigerator temperature logs.
- Assist in the shipping process of vials via UPS or courier services.
- Support inventory management and supply needs as required.
- Verify patient account benefits and balances for reorders and new patient initiations.
- Field inquiries from patients, primary care providers, and team members regarding reactions, dilutions, scheduling, extracts, and other concerns.
- Adhere to HIPAA regulations and maintain confidentiality at all times.
- Perform additional relevant tasks as assigned by the Director.
Qualifications
Skills and Competencies
Strong communication abilities, including:
- Proficiency in reading and speaking English.
- Capability to interpret safety regulations, handbooks, policies, and procedural documents.
- Effective verbal and written communication skills with staff and patients.
Education and Experience
- High school diploma or GED required.
- Prior experience in a medical office setting is preferred.
- Basic computer proficiency is necessary.
- Successful completion of background checks, including Office of Inspector General and State Medicaid Exclusions.
- Must be at least 18 years old.
Physical Requirements and Work Environment
Physical Demands
This role involves physical activities that may include:
- Regular use of hands for handling objects and tools; reaching with arms; and effective communication.
- Frequent standing, walking, stooping, kneeling, and sitting, with an average of 80% of the shift spent seated.
- Occasional lifting or moving of items up to 30 pounds.
- Vision requirements include close, distance, peripheral vision, depth perception, and the ability to adjust focus.
- Communication abilities necessary for conversing and exchanging information with others.
Work Environment
The work environment typically includes:
- A moderate noise level and standard lighting conditions.
- Potential exposure to infectious waste and allergens in concentrated forms.
