Key Responsibilities:
As an Event Management Specialist, you will be responsible for overseeing the planning and execution of virtual, hybrid, and in-person meetings. Your duties will include:
  • Implementing project management strategies with a consultative approach.
  • Managing client relationships, financial aspects, and vendor partnerships.
  • Coordinating onsite services and ensuring seamless event execution.
  • Handling multiple projects under tight deadlines.
  • Adhering to client-mandated standard operating procedures (SOPs).
  • Providing digital production and technical support for events.
  • Collaborating with the Procurement Department to secure venues and accommodations.
  • Reviewing and monitoring contract terms and guest room allocations.
  • Managing event profiles in event software (Cvent or equivalent) for paid conferences.
  • Creating and maintaining event resumes, specifications, and timelines.
  • Guiding clients on event software capabilities and website development.
  • Collaborating with internal teams for attendee communications and reporting.
  • Coordinating travel arrangements for attendees as needed.
  • Overseeing ground transportation logistics with preferred vendors.
  • Creating emergency preparedness plans for onsite events.

Qualifications:
The ideal candidate will possess:
  • A college degree or equivalent experience.
  • 2-3 years of experience in the meetings industry, particularly in operations.
  • A comprehensive understanding of pharmaceutical Congress meetings and HCP guidelines.
  • Knowledge of virtual and hybrid event formats.
  • Excellent communication skills in both internal and client-facing scenarios.
  • A proven ability to manage multiple projects effectively.
  • Experience in a virtual office environment is advantageous.
  • Proficiency in Microsoft Office Suite and database management programs (Cvent preferred).
