Overview:

This role is pivotal in overseeing the management of healthcare practices, typically involving multiple providers, a substantial number of full-time equivalents (FTEs), or several locations. The individual will be tasked with a variety of responsibilities including staff management, budget preparation, ensuring data integrity, conducting financial assessments, addressing complex client service matters, and facilitating communication between providers and staff.

Key Responsibilities:


• Develops and executes strategic goals, objectives, policies, and procedures for designated administrative functions.

• Aids in the formulation and execution of the annual operational strategy and budget.

• Recruits, trains, and supervises clinic staff in line with established guidelines. Oversees daily operations and assigns work tasks. Manages personnel across multiple practices, including the training of temporary staff.

• Assesses employee performance and recommends salary increases, promotions, and disciplinary actions in a timely manner. Conducts interviews and advises on hiring and termination decisions in accordance with established protocols.

• Addresses administrative challenges and ensures adherence to relevant regulations and standards.

• Collaborates with financial management and administrative teams to implement cost-effective policies and procedures across all operational areas, including bookkeeping, billing, insurance, fee structures, collections, procurement, data management, and spatial planning.

• Partners with the Regional Director and corporate Marketing Department to drive practice development initiatives.

• Guarantees the effective application of job descriptions, personnel policies, and payroll practices.

• Monitors and manages clinic expenditures within budgetary constraints, identifying and executing cost-saving measures.

• Acts as a liaison between the clinic and external organizations.

• Collaborates with staff and providers to ensure high-quality patient care and services. Maintains effective communication with providers and staff; organizes monthly meetings to foster a positive work environment.

• Collects and reports monthly and annual data for financial, statistical, and planning purposes. Develops and implements strategies to enhance revenue for existing practices.

• Engages in professional development activities to stay abreast of healthcare trends and practices.

• May be responsible for ensuring that all necessary licenses, certifications, and accreditations are obtained in accordance with policy.

• Adheres to guidelines related to the Health Insurance Portability and Accountability Act (HIPAA) to prevent unauthorized disclosure of Protected Health Information (PHI).

• Maintains strict confidentiality.

• Utilizes effective oral and written communication skills to convey ideas clearly and positively, aligning with the organization's mission.

• Upholds established policies, procedures, objectives, quality assurance, safety, environmental, and infection control standards.

• Executes job responsibilities in a manner consistent with the organization's mission and ethical standards, supporting cultural diversity objectives.

• Supports and adheres to the organization's service guarantee.

• Collaborates effectively with physicians, administrators, patients, families, other departments, and the community to enhance patient care and outcomes.

• Ensures competency assessments for all associates are completed as part of the orientation process and on an ongoing basis. Identifies, plans, and arranges educational programs to meet the skills needs of associates.

• Annually contributes to the development of operating and capital budgets to fulfill clinic needs.

• Reviews financial and productivity reports and takes necessary actions.

• Evaluates clinic performance and revises procedures or develops new forms to enhance workflow efficiency.

• Supervises both clinical and non-clinical areas to ensure effective management.

• Coordinates with providers as necessary to ensure that projects and assignments are managed effectively by administrative staff.

• Demonstrates commitment to the mission and core values of the organization.

• Performs other related duties as required.
