Construction Accounting Coordinator

Key Responsibilities:
- Serve as the primary point of contact for Owners, Project Managers, and team members, ensuring prompt responses to inquiries.
- Maintain comprehensive project documentation, including contracts and amendments.
- Analyze monthly Work-in-Progress reports for accuracy and discrepancies.
- Monitor monthly Accounts Receivables for payment updates and follow up as needed.
- Collaborate closely with Project Managers to conduct thorough monthly job cost evaluations.
- Set up projects, including contract analysis, budgeting, value schedules, and billing templates in Vista by Viewpoint/Procore.
- Assess bonding prerequisites per contract and arrange for Payment/Performance bonds when necessary.
- Communicate insurance requirements to the insurance agency to secure Certificates of Insurance.
- Request job cost reallocations.
- Process subcontractor and change order submissions.
- Generate and distribute monthly billing packets for Owners for each project, including lien releases, vendor waivers, and customer-specific billing formats.
- Manage vendor credit applications and initiate new vendor setups.
- Oversee Pay Controls and suggest modifications to ensure timely payments to subcontractors and vendors in accordance with their contractual terms.
- Facilitate project closeouts.
- Assist with special projects and additional tasks as assigned by management.
Qualifications:
- Required Skills/Abilities: Familiarity with integrated Job Costing and Construction Accounting.
- Strong ability to prioritize tasks, work efficiently under pressure, meet tight deadlines, and follow instructions.
- Excellent communication skills for effective interaction with both internal and external stakeholders.
- Proficient in troubleshooting and problem-solving with meticulous attention to detail.
- Education and Experience: A Bachelor's degree in Accounting, Finance, or a related field, or equivalent experience.
- Intermediate proficiency in Adobe Acrobat and Microsoft Office.
- Solid understanding of project contracts and change order documentation, along with familiarity with AIA documents.
- Experience with Vista by Viewpoint Construction Software is preferred but not mandatory.
- Procore Software experience is also preferred but not essential.
