Position Summary

Under general supervision, the Judicial Support Specialist provides essential assistance to judicial officers in the courtroom. Responsibilities include preparing and organizing case files for daily court schedules, attending court sessions to document and record minutes of proceedings, and entering court minutes into the case management system. This role involves participating in court activities, explaining court policies and procedures to legal representatives and the public, and performing various related tasks as needed.

Key Responsibilities
  • Attend court sessions, accurately record and prepare minutes of actions and proceedings, and seek clarification on instructions to ensure precise documentation of the official court record.
  • Engage in court proceedings by reading charges and complaints to defendants, recording pleas, administering oaths to witnesses and jurors, and managing exhibits.
  • Inform attorneys and the court about the status of the court calendar and notify them of upcoming hearing dates.
  • Coordinate with interpreters, counsel, and other professionals appointed by the court.
  • Draft legal documents, including orders and judgments, and verify the format and content of legal documents presented for review.
  • Assist attorneys, court personnel, and the public by providing information regarding legal cases and court procedures through various communication methods.
  • Utilize computer systems to enter and retrieve data related to case status and court proceedings.
  • Research relevant legal codes and rules to support the preparation of judicial reports and assist in answering inquiries about court processes.
  • Contribute to the training of staff in courtroom operations.
Qualifications

Minimum Qualifications: A combination of education and experience that provides the necessary knowledge, skills, and abilities is required. Typically, this includes:

Education and Experience: Equivalent to high school graduation and two years of relevant experience in legal or court support roles, familiarizing oneself with various legal documents.

Other Requirements: Valid Class C California driver's license and a satisfactory driving record.

Knowledge and Abilities

Thorough knowledge of: legal terminology, forms, and documents; court operations and procedures.

Considerable knowledge of: the Rules of Court and relevant sections of various legal codes; court record systems.

Working knowledge of: English grammar, modern office practices, and office equipment.

Ability to:
  • Maintain professionalism in formal courtroom settings.
  • Accurately record and prepare court proceedings in a timely manner.
  • Learn new technology and applications related to court operations.
  • Listen attentively to capture essential information for court records.
  • Interpret written materials and follow oral instructions effectively.
  • Communicate laws and procedures clearly to others.
  • Manage multiple priorities efficiently and effectively.
  • Work independently and collaboratively in a structured environment.
  • Establish and maintain professional relationships with court personnel and the public.
