ABOUT THE POSITION:

The individual in this role will be responsible for proficiently managing all aspects of the outpatient department, which includes administrative duties, patient scheduling, and the process of admitting and rooming patients. Additionally, this position will support pharmacy operations by handling clerical tasks related to compliance reporting and assisting with patient financial assistance documentation to facilitate pharmacy coverage, along with other administrative duties within the pharmacy. The role also requires flexibility to assist across various departments during peak times, within the scope of practice.

KEY RESPONSIBILITIES INCLUDE:

  • Executing opening and closing procedures for the department.
  • Adhering to scheduling protocols to ensure timely patient appointments; utilizing technology for data entry and information retrieval; coordinating examinations and treatments with relevant departments and external offices.
  • Providing telephone support for the department, screening calls, relaying messages promptly, and offering accurate information to callers.
  • Managing assigned work queues effectively.
  • Performing photocopying, faxing, printing, and distributing information within the department.
  • Collaborating with the Health Information Department to maintain accurate patient chart documentation and ensuring timely entry of prior authorization details into the electronic health record.
  • Welcoming and directing patients, providers, visitors, and team members both over the phone and in person; providing accurate responses in a friendly and courteous manner while maintaining confidentiality.
  • Transcribing provider orders with precision.
  • Documenting relevant information accurately in the electronic health record.
  • Supporting pharmacy compliance reporting for 340B programs.
  • Assisting with patient financial assistance documentation.
  • Handling clerical tasks for the pharmacy, including reports, invoices, and managing scheduling queues.
  • Utilizing quality improvement initiatives to enhance departmental operations.
  • Coordinating clinic logistics, ensuring equipment functionality, and preparing examination rooms with necessary supplies and equipment.
  • Conducting patient check-ins, reviewing forms for completion, recording patient histories, maintaining patient flow, and assisting in data collection.
  • Measuring and recording vital signs and other essential information.
  • Performing thorough pre-visit chart reviews to ensure completeness, particularly in chronic disease management areas, and assisting in the coordination of these tasks as per provider guidelines.
  • Engaging in discussions with providers regarding patient care and wellness needs.
  • Assisting providers and nursing staff during examinations; preparing patients for medical procedures; executing provider orders within certification limits and assisting in cleaning rooms post-visit.
  • Upholding medical ethics and confidentiality while promoting and respecting patient rights.
  • Continuing professional development through seminars, workshops, and professional affiliations to stay updated on industry trends.
  • Participating in meetings, committees, and improvement projects as assigned.

QUALIFICATIONS:

A high school diploma or equivalent is required. An active Certified Nursing Assistant (CNA) credential is mandatory. Current Basic Life Support (BLS) certification is essential, with recognition from the American Heart Association, American Red Cross, or Military Training Network for healthcare professionals. Advanced Cardiac Life Support (ACLS) certification is also required.
