Position Title: Tropicana Pool Cafe Receptionist

Department: Tropicana Pool Cafe

FLSA Status: Non-exempt

Reports to: Outlets Manager

Position Summary

The primary responsibility of a receptionist is to provide essential support to the entire dining team. Key duties include overseeing the open dining areas for vacant and cleaned tables, estimating wait times for patrons, managing the guest waiting list, and ensuring that guests' needs are met during their wait. The receptionist is also tasked with answering phone calls and managing reservations. These responsibilities require a service-oriented approach that is crucial for delivering a positive guest experience.

Essential Duties and Responsibilities

  • Welcome guests promptly upon arrival with a friendly and professional demeanor.
  • Assign guests to appropriate tables based on the organized seating plan.
  • Prepare and manage reservations efficiently.
  • Ensure guests are seated in a manner that balances server workloads.
  • Provide guests with menus and the first round of beverages as needed.
  • Maintain current knowledge of all food and beverage offerings, including specials and ingredients.
  • Manage Open Table Reservations, including making and confirming bookings based on availability, documenting large party requests, and completing daily reservation confirmation calls.
  • Ensure the reception area is consistently attended; if stepping away is necessary, inform a manager beforehand.
  • Foster positive communication and teamwork with all colleagues and supervisors.
  • Deliver outstanding customer service efficiently.
  • Stay informed about hotel and local area information.
  • Act professionally, being mindful that all actions and communications are visible to guests.
  • Perform additional duties as assigned.

Knowledge and Skills

  • Customer Service: Greet and acknowledge each guest with a smile, maintaining eye contact and a friendly verbal greeting, using the guest's name when possible. Engage guests in conversation about their stay, property services, and local attractions. Manage difficult customer situations with care.
  • Problem Solving: Identify and resolve issues promptly. Gather and analyze information skillfully, developing alternative solutions as needed.
  • Interpersonal Skills: Focus on conflict resolution, maintaining confidentiality, and listening without interruption.

  • Teamwork: Balance team and individual responsibilities, contributing to a positive team spirit.

Education and Work Experience

  • High school diploma or equivalent; or three to six months related experience and/or training; or a combination of education and experience.
  • Experience in Bar/Nightlife/Hospitality preferred.

Certificates, Licenses and Registrations

California Food Handler Card.

Reasoning Ability and Computer Skills

Ability to carry out detailed instructions and deal with problems involving concrete variables in standardized situations. Proficient in using MICROS/POS System.
