Position Overview:

The role of the Front Desk Clerk is essential in ensuring a well-structured office environment that aligns with the policies and procedures of the organization. This position involves providing care and support to clients and visitors while facilitating effective communication with family members and assisting clinical staff with various administrative tasks.

Key Responsibilities:

  1. Maintain regular work hours and be available for additional hours as necessary.
  2. Manage incoming calls and direct them appropriately.
  3. Welcome clients and visitors, processing payments as required.
  4. Keep accurate scheduling logs, including referral and intake appointments.
  5. Conduct financial interviews with clients and update their information in the database.
  6. Ensure all documents are complete and scanned into the electronic health record system.
  7. Handle internal and external mail distribution.
  8. Input data and prepare reports as assigned.
  9. Review clinical data and report any discrepancies to supervisors.
  10. Provide assistance to the office support team as needed.
  11. Adhere to the principles established by the Corporate Compliance Program and Code of Ethics.
  12. Deliver outstanding customer service consistently to all clients.
  13. Act as a role model for colleagues and clients, promoting positive relations.
  14. Take on additional responsibilities as assigned by management.

Qualifications and Skills:

  • High school diploma or equivalent.
  • Strong customer service orientation.
  • Experience with phone systems or switchboards.
  • Basic understanding of substance abuse issues.
  • Excellent organizational and multitasking skills.
  • Effective communication abilities.
  • Capability to work independently and collaboratively.
  • Proficiency in MS Word, Excel, and Outlook.
  • Typing speed of at least 35 words per minute.

Physical Requirements:

  • Ability to read printed and handwritten materials.
  • Good hearing for effective communication.
  • Mobility between departments as needed.
  • Ability to lift or move objects weighing up to 20 pounds.
  • Proficient in using a keyboard and phone equipment.
  • Capability to sit for extended periods while using a computer.
