Position Overview:
The role of the Front Desk Clerk is essential in ensuring a well-structured office environment that adheres to the agency's policies and procedures. This position is pivotal in providing care and support to clients and visitors while facilitating communication with family members and assisting clinical staff with various clerical tasks.
Key Responsibilities:
- Maintain regular work hours and be available for additional hours as required by assigned responsibilities.
- Efficiently manage incoming calls and direct them to the appropriate personnel.
- Welcome clients and visitors, handling payment collection and processing.
- Keep accurate scheduling logs, including referrals and intake appointments.
- Conduct financial interviews with clients and ensure their information is updated in the database.
- Review documents for accuracy and completeness, ensuring they are scanned into the Electronic Health Record (EHR) system.
- Distribute internal and external mail as necessary.
- Input data and generate reports as assigned by management.
- Examine clinical data and report any discrepancies to supervisors.
- Support the office team as needed to ensure smooth operations.
- Adhere to the principles established by the Rosecrance Corporate Compliance Program and Code of Ethics.
- Deliver outstanding customer service consistently to all clients and visitors.
- Act as a role model for colleagues and clients, demonstrating positive interactions and guest relations.
- Take on additional responsibilities as assigned by management.
Qualifications and Skills:
- High school diploma or equivalent.
- Strong customer service orientation with excellent interpersonal skills.
- Experience with phone systems or switchboards.
- Basic understanding of substance abuse issues.
- Strong organizational skills and ability to multitask effectively.
- Excellent communication skills, both verbal and written.
- Ability to work independently as well as part of a team.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Typing speed of at least 35 words per minute, with experience in keyboarding and ten-key operations.
Physical Requirements:
- Vision: Ability to read printed and handwritten materials.
- Hearing: Ability to communicate effectively with coworkers and manage phone calls.
- Mobility: Ability to move between departments within the facility.
- Lifting: Ability to lift or move objects weighing up to 20 pounds occasionally.
- Sitting: Ability to sit for extended periods while using a computer.
