Job Overview

Position Summary: The Referral Coordinator plays a crucial role in managing the daily functions of an outpatient clinical practice, dedicated to delivering exceptional service to patients, families, and visitors. This position collaborates closely with the Referral Manager and the referral team to ensure that all referrals, both incoming and outgoing, are handled efficiently and promptly.


Key Responsibilities:

  • Oversee and track the referral work queue to guarantee precise and timely documentation of the referral process. Serve as the primary contact for patients and referring providers regarding scheduling and follow-up.
  • Maintain a strong emphasis on patient satisfaction. Act as a patient advocate to ensure that care plans are effectively executed.
  • Respond to incoming phone inquiries: assess the nature of the call, resolve issues, transfer calls, or coordinate services as needed.
  • Engage with referral sources, patients/families, insurance providers, and healthcare professionals to ensure timely and appropriate care delivery.
  • Act as a liaison for patients to facilitate the highest quality of care and follow-through. Responsibilities include scheduling outgoing referral appointments, following up with patients to ensure adherence to care plans, communicating with referral resources regarding treatment, and providing accurate medical records to relevant parties.
  • Ensure that patient records are current and that documentation is maintained accurately.
  • Identify and communicate potential concerns to the Referral Manager and follow up as necessary.

Qualifications Required:

  • High School diploma or GED is mandatory.
  • 1-2 years of experience in a clinical or healthcare setting is essential.
  • Familiarity with insurance plans and guidelines is required, along with a working knowledge of benefits plans and eligibility verification.
  • Capability to obtain authorizations and pre-certifications from insurance providers.
  • Ability to work independently while effectively prioritizing tasks.
  • Outstanding customer service skills, along with strong written and verbal communication abilities, organizational skills, and the capacity to multitask in a dynamic environment.
  • Proficiency with computer systems is required, including web-based applications and various Microsoft Office applications such as Outlook, Word, Excel, PowerPoint, or Access.
