Job Overview

We are seeking a Customer Service Specialist to join our logistics organization.

The ideal candidate will possess experience in logistics customer support.

The Customer Service Specialist (CSS) serves as the main point of contact for order management and acts as the internal liaison between customers and various departments within the warehouse. The CSS will address customer inquiries and resolve issues in a timely, courteous, and effective manner.

Key Responsibilities:

Communication Duties:

  • Maintain a positive and friendly tone during all phone interactions.
  • Articulate clearly and at a pace that is easily comprehensible.
  • Deliver an exceptional customer service experience.
  • Draft emails that are straightforward and utilize proper punctuation and grammar.
  • Respond to emails with updated information and clear answers to customer inquiries.

Operational Duties:

  • Examine purchase orders and bills of lading from the previous day. Finalize orders and relay information to the customer service assistant for processing.
  • Provide customers with precise information regarding the receipt, storage, or shipment of their products.
  • Input customer orders into the Warehouse Management System (WMS) and ensure data accuracy.
  • Review customer orders in WMS and on the Outbound Calendar to confirm shipping dates and ensure all products are dispatched as requested.
  • Prepare and release wave orders to the operations team.
  • Generate preliminary billing by printing invoices for the accounting department.
  • Monitor open order reports; verify the status of orders that have been released but not yet shipped by consulting with warehouse staff.
  • Notify customers when stock is low for an order and obtain authorization to ship the order short if necessary.
  • Complete online routing for assigned accounts and ensure compliance documents are noted.
  • Request cycle count tasks through the WMS as needed.
  • Coordinate with carriers to arrange pick-up times.
  • Follow up with the Value Added Department on compliance orders to ensure shipping deadlines are met.
  • Compile and print data for billing purposes; verify that all charges are accounted for against the work order billing sheet and customer’s bill of lading.
  • Provide thorough explanations and photos to customers in cases of product damage.
  • Enter work orders for destruction or re-packaging based on customer requirements.
  • Communicate any changes in orders or shipping dates to the Outbound Supervisor.
  • Organize documents according to company standards.
  • Execute tasks in accordance with company Standard Operating Procedures.

Qualifications:

  • High School Diploma or GED.
  • 2-3 years of experience in customer service.
  • Ability to perform basic mathematical calculations (addition, subtraction, multiplication, division).
  • Proficient data entry and typing skills (minimum 35 wpm).
  • Ability to collaborate effectively with others, manage stress, and multitask.

Preferred Knowledge:

  • Familiarity with E.D.I (Electronic Data Interchange) for inbound and outbound orders.
  • Understanding of units of measure and Bills of Lading (BOLs).
  • Experience with Warehouse Management Systems (WMS) and routing orders/containers.
  • Experience with vendor portals such as Target, Amazon, and Walmart.

  • Possesses experience with Warehouse Management Systems; knowledge of Synapse is preferred.

  • Intermediate computer skills (Excel, Word, Outlook).
  • Strong prioritization skills and attention to detail.
  • 3+ years of customer service experience.
  • Ability to identify and resolve issues promptly.

Work Environment:

This position is primarily office-based, where the employee will utilize a computer, telephone, and other electronic devices.
