Position Overview
The Building Operations Supervisor plays a crucial role in overseeing the management, functionality, service standards, and financial planning of facility operations, including logistics, environmental compliance, support services, and security measures. This position is also tasked with the continuous planning and implementation of maintenance and repair activities. The Supervisor will lead a team comprising Facilities Technicians, Mailroom Staff, Space Planners, Environmental Safety Coordinators, Facilities Coordinators, CAD specialists, Events Coordinators, and Transportation Providers. As the Building Operations Supervisor, your responsibilities will include:
• Overseeing the management, functionality, service standards, and financial planning of facility operations, logistics, environmental compliance, support services, and security, alongside the ongoing planning and execution of maintenance and repair tasks.
• Directing daily operations related to loss prevention, risk management, safety, security, maintenance, and landscaping.
• Managing policies regarding quality assurance, cost efficiency, timely delivery, safety, customer satisfaction, employee relations, visual management, and performance metrics.
• Analyzing activities, costs, operations, and forecast data to assess progress towards established goals and objectives.
• Collaborating closely with the operations director to formulate and execute plans for the operational framework of systems, processes, and personnel that align with the company's growth objectives.
Key Responsibilities:
- Ensure effective management, functionality, service standards, and financial planning of facility operations, logistics, environmental compliance, support services, and security, along with ongoing maintenance and repair planning.
- Oversee daily operations concerning loss prevention, risk management, safety, security, maintenance, and landscaping.
- Administer policies in areas such as quality assurance, cost efficiency, timely delivery, safety, customer satisfaction, employee relations, visual management, and performance metrics.
- Conduct reviews of activities, costs, operations, and forecast data to evaluate progress towards established goals and objectives.
- Work collaboratively with the operations director to develop and implement strategies for the operational infrastructure of systems, processes, and personnel to support the company's growth objectives.
- Maintain compliance with OSHA regulations and oversee contracts with external vendors.
- Perform routine tasks to support the facilities department and manage requests for repairs and maintenance.
- Ensure the work area is clean and orderly, adhering to prescribed safety regulations.
- Direct daily activities related to loss prevention, risk management, safety/security, maintenance, and landscaping.
- Possess a working knowledge of HVAC systems.
- Manage daily operations, coordinate repair requests, and oversee contractual and additional work, including bidding for recurring facility tasks such as HVAC preventive maintenance, staffed technician positions, and tenant improvements.
- Ensure adequate inventory of supplies and equipment to meet current and future needs.
- Bid for tenant improvement projects and maintain accurate records of current space conditions, including roofs, HVAC, utilities, and special circumstances.
- Implement a preventive maintenance program within the constraints of an annual budget.
- Maintain plans for fire evacuation and disaster response.
- Serve as the facility's Emergency Response Coordinator.
- Coordinate the Environmental Health and Safety Program and manage hazardous waste disposal initiatives.
- Oversee the paper recycling program.
- Keep up-to-date records for all state, federal, and insurance inspections.
- Read and interpret drawings, sketches, OEM instructions, and specifications.
- Adapt to changing priorities and situations effectively.
- Work independently and collaboratively with individuals at all levels, both within and outside the facility.
- Perform additional duties as assigned by management.
- Engage with customers regularly to enhance relationships and ensure their needs are met.
- Other duties as assigned.
Possession of personal hand tools and a battery drill is required. Knowledge of equipment, controls, and building automation maintenance is essential. Familiarity with regulatory agency requirements is necessary. Strong written and verbal communication skills are vital. Technical expertise in Plant Operations, HVAC, Electrical, and Plumbing is preferred. Proven project management and problem-solving abilities are essential. Capability to prepare operating budgets and capital plans is required. Proficiency in reading and interpreting blueprints, schematic drawings, and technical manuals is necessary. Competence in computer, electronic, and automated functions is expected. Ability to read and interpret safety protocols, operating and maintenance instructions, and procedural manuals is essential. Skills in writing routine reports and correspondence, as well as performing calculations involving discounts, interest, commissions, proportions, and percentages, are required. The ability to address problems involving multiple concrete variables in standardized situations is necessary. Excellent time management and organizational skills are crucial.
Education and Work Experience:
A High School Diploma or GED is required. A Bachelor's degree in construction management or business management is preferred. A minimum of 5-10 years of experience in maintenance trades is necessary. Previous experience managing vendors and subcontractors is essential. CAD proficiency is a plus.
Work Environment:
The work environment may include elements and exposures such as outdoor conditions in varying weather, use of ladders and aerial lifts, exposure to lubricants and oils, dusty and dirty environments, noise from machinery, and a combination of office, shop, and manufacturing settings. Regular exposure to dust, odors, oil, fumes, and noise is expected.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Frequent hand usage is required for handling power tools, boxes, containers, and other objects, as well as writing reports and completing forms. Occasional repetitive motion is necessary for grasping, pushing, pulling, and rotating the body. Constant lifting and carrying of objects up to 20 lbs. is required. Frequent lifting, carrying, pushing, and pulling of objects over 40 lbs. must be done by two individuals. Frequent reaching across surfaces, above shoulder height, and outward is necessary. Good or correctable vision is required to safely perform all duties. Frequent sitting, standing, and walking are expected, along with occasional bending, twisting, squatting, kneeling, crawling, balancing, and neck flexing.
