Overview

Under direct supervision, the Patient Access Coordinator I serves as a representative of WellSpan Health, embodying professionalism and excellent customer service in various responsibilities. These include managing inpatient admissions, overseeing registration processes, assisting with patient arrivals, and providing kiosk support. The role encompasses a wide range of tasks such as pre-service outreach to patients, warmly greeting customers, promoting self-service tools, conducting interviews, preparing necessary documentation, assigning inpatient rooms, monitoring waiting areas, and handling billing information and charges. Additionally, this position involves various functions related to cashiering and verifying insurance coverage.

Key Responsibilities

Essential Duties:

Conduct thorough patient interviews to gather accurate financial, biographical, and demographic data for admissions or registrations. Clearly explain financial obligations to patients or responsible parties, collecting necessary deposits or deductibles. Provide information regarding insurance coverage and requirements for precertification/preauthorization as needed. Prepare pre-admission and admission forms, facilitate room transfers, and generate admitting and discharge reports. Review pre-arrival, pre-admission, and admission details to identify missing components, ensuring verification of insurance coverage and eligibility. Collect and verify registrations to ensure accurate financial and demographic data is entered into the appropriate systems. Assign beds based on patient preferences, conditions, and diagnoses. Process payments from patients and issue receipts, while investigating overpayments and researching outstanding accounts for additional funding resources. Reconcile daily cash transactions and verify account balances. Compile and distribute information regarding patients' personal, insurance, and financial statuses, providing necessary forms to billing and other departments. Review and prepare admitting and death or birth records to ensure compliance with medical-legal standards. Verify insurance benefits assigned to the organization to confirm coverage meets established criteria. Communicate with patients to obtain required authorizations and benefit assignments. Maintain and update the insurance master file as necessary. Collaborate with relevant sources to coordinate precertification requirements with PROs, HMOs, and other contractual third parties. Assist patients with self-registration and arrival tasks using Welcome Kiosks or their personal devices. Process payments from patients via kiosks or manually when applicable, issuing receipts upon request. Collaborate with patients to investigate overpayments, research outstanding account balances, explore payment plan options, and provide information on funding resources.

General Expectations

Type and compile correspondence and reports, photocopy information, file documents, answer phone calls, take messages, and direct inquiries. Prepare and maintain records of patient charges. Keep department records, reports, files, and census statistics as required. Adhere to established policies and procedures, objectives, quality assessments, safety, environmental, and infection control standards. Participate in educational programs and in-service meetings. Deliver exceptional service to all customers; promote teamwork; and practice fiscal responsibility through continuous improvement and innovation. Qualifications

Minimum Education:

High School Diploma or GED required.

Work Experience:

Less than 1 year; 3 - 6 months of experience required.

Courses and Training:

Completion of 6-8 week in-house registration procedures and medical terminology courses upon hire is required.
