Key Responsibilities- Review and Process Inspection Reports: Download inspection reports from our online platform, review for content and grammar, and ensure all requirements are met.
- Collaborate with Inspectors and District Managers: Work closely with inspectors and district managers to ensure all requirements are met and follow up on any issues.
- Template Management: Create and update templates for each account to ensure all requirements are followed.
- Letter Distribution: Email letters to the designated locations and distribution lists.
- Follow-up and Record-Keeping: Follow up with district managers on missing letters and maintain a daily record of letter receipt and sending.
- Client Communication: Work with client administrators to find new contacts for failed delivery notices.
- Reporting and Monitoring: Report information weekly to the team lead and monitor the follow-up email inbox.
- Education: High school or equivalent plus 2-3 years of administrative experience.
- Skills and Abilities: Ability to interface with internal clients, detail-oriented with exceptional organizational skills, proficient in Microsoft Office applications, and ability to work well in a fast-paced office environment.
- Communication: Listen to others, send clear and convincing messages, and exchange ideas and information effectively.
- Collaboration: Work as a team to develop ideas and solutions, respect others' opinions, and keep communication open.
- Customer Orientation: Assess and understand customer needs, act with integrity, and establish trusting relationships.
