Purchasing & Inventory Manager

Job Summary:

The Purchasing & Inventory Manager is responsible for managing the purchasing process, inventory movement, distribution, and control of items across all company locations. This role involves working with each location to identify products to be purchased, selecting the most suitable suppliers, confirming pricing and delivery details, and maintaining an inventory control database.

Key Responsibilities:

  • Maintain strategic supplier relationships, negotiate contracts, and implement systems for monitoring performance, assessing risk, and responding to changes in demand or supply chain disruptions.
  • Work with department managers to determine purchasing needs and requirements for production and office products.
  • Identify the most suitable supplier for designated products, determine availability, perform comparative pricing, and negotiate pricing, confirm product quality, and establish delivery requirements and timelines.
  • Oversee the input and maintenance of an online database of all products and maintain regular inventory updates.
  • Identify and resolve issues related to product quality, pricing, delivery, utilization, and loss.
  • Perform inventory cycle counts, spot counts, and month-end reconciliation processes, research variances, and authorize inventory adjustments.
  • Update the company on new products that may be more efficient or cost-effective, obsolete products, and product trends.
  • Conduct records audits of inventory, adjustments, and other metrics and prepare monthly, quarterly, and annual reports of findings to management.
  • Supervise and support equipment movement and freight, custom critical document transport for information security, ocean shipments.
  • Manage relationships with preferred logistic vendors for service level and pricing, reporting on potential savings on centralized and local freight costs.
  • Manage business partner contracts.
  • Manage fleet vehicles.
  • Manage field equipment inventory for serialized equipment.
  • Manage and support service locations with non-serialized equipment inventory.
  • In coordination with Ops Managers, ensure field systems are updated with status and readiness of equipment and prepare accurate and timely equipment location and availability reports.

Requirements:

  • Hands-on experience in both performing purchasing functions and managing/supervising purchasing processes.
  • Experience managing vendor negotiations.
  • Experience with fleet and supply inventory systems and practices.
  • Understanding of computer systems, application development, and troubleshooting.
  • Two years of project management experience and two years of supervisory experience in a service industry preferred.
  • Strong interpersonal, verbal, and written communication skills, along with technical skills.
  • Team-oriented and professional manner.
  • Ability to perform duties that are physical in nature.
  • Willingness to work overtime when needed.
  • Willingness to travel on short notice, sometimes for extended durations (typically 1-3 weeks).
  • Strong problem-solving skills.
  • Experience and proficiency in database management, analyzing and reporting data regarding inventory issues, results, trends, and solutions.
  • Strong organizational skills, ability to multi-task, and ability to exercise independent judgment.
  • Detail-oriented.
  • Excellent communication skills, both in oral and written mediums.
