Hopedale Medical Complex is seeking a Central Supply Coordinator to join our team in Hopedale.

Job Summary

We are looking for a highly organized and detail-oriented individual to coordinate the sourcing and ordering of supplies and inventory for the OR/Surgical department and other departments as assigned. This role also involves receiving, labeling, and storing supplies, as well as transporting items to and from off-campus locations using HMC vehicles as needed.

Responsibilities
  • Stock and maintain shelves, ensuring accurate storage and organization.
  • Place orders with vendors for supplies or equipment, utilizing purchasing agreements when applicable.
  • Perform daily office duties such as answering phones, filing, and faxing documents.
  • Prepare purchase requisitions and/or purchase orders as required by Sr. Director, Facilities Operations.
  • Post and maintain inventory records according to disbursements and receipts on the computer system.
  • Assist with cycle count inventories throughout the year, ensuring accurate tracking and reconciliation.
  • Assist with inputting prices for any items that have changed to ensure proper patient charges are implemented.
  • Label items chargeable to patients with bar code stickers and verify correct sticker placement.
  • Monitor inventory quantities to assure availability to users, developing familiarity with all supply inventories to monitor stock levels and set accurate par levels.
  • Maintain a complete log indicating who placed requests, date, quantity ordered, and verification of correct order received/returns if necessary.
  • Follow up on backordered items and report status to Surgery Manager and Purchasing Manager.
  • Post weekly summaries of backorders and expected delivery dates in designated locations.
  • Make recommendations for product substitutions to save costs, participating in problem-solving and process improvement within the department to ensure standardization of supplies and workflows.
  • Respond to OR price requests via email or Freshdesk.
  • Meet weekly with OR/Central supply staff as scheduled.
  • Review outstanding timely unsigned purchase requisitions with OR Medical Director to obtain signature and/or approval.
  • Assist with support contractual agreements such as Premier.
  • Work cooperatively with USPS/FEDEX/UPS managers and other staff ordering products.
  • Assess surgical schedule to assure needed supplies and equipment are available for use.
  • Assist with special short- and long-range projects and additional duties as needed.
  • Perform other related work as required or requested.
Requirements
  • High school diploma or equivalent experience required.
  • A valid Illinois driver's license, clean driving record, and proof of auto insurance required.
  • Basic math skills required.
  • Computer literacy with fundamental skills essential for job-related duties.
  • Attention to detail and ability to check documents for accuracy daily.
  • Effective communication and diplomacy when working with teammates and vendors required.
  • Prior Healthcare Purchasing/Supply Chain experience strongly preferred.
Compensation and Benefits

This full-time position offers a competitive hourly wage between $17-$19 per hour.
